This is an administrative position in the City Manager’s Office that works under the general supervision of the Executive Aide to the City Manager and is responsible for handling executive level administrative support. The position engages regularly with elected and appointed officials; encounters sensitive information requiring discretion and confidentiality and fulfills requests for action or information in an efficient, timely, and professional manner.
- Responds to requests for action or information from citizens, department heads, elected and appointed officials, and ensures requests are handled in an efficient and timely manner.
- Greets all visitors and callers to the City Manager’s office; assists them with their requests or directs them to the appropriate staff member.
- Assists in the preparation of agendas, agenda items, and other official City documents.
- Prepares correspondence, presentations, spreadsheets, and other materials needed by the department.
- Processes financial documentation including contracts, invoices, travel training forms, check requests, and others.
- Plans and coordinates special events as directed.
- Coordinates requests received through Citizen Request portal or other means.
- Schedules meetings and makes arrangements for travel as needed.
- Plans and coordinates assignments with supervisor.
- Acts as the Executive Aide to the City Manager during his or her absences.
- Performs other related duties and special projects as required.
Job Qualifications:
- High school graduate or GED with some college preferred, plus five years of experience in responsible office administrative work, or an equivalent combination of education and experience.
- Ability to maintain complete confidentiality dealing with all matters (verbal and/or written).
- Ability to contribute to a team environment.
- Skill in listening to others under adverse or emotional circumstances and responding in a calm, business-like manner.
- Ability to communicate in a positive and professional nature, matching the tone and style required by the occasion and interaction.
- Possess competent computer skills and the ability to effectively use Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook along with the ability to learn other software as needed.
- Ability to research and analysis on specific issues and independently
prepare non-routine letters and/or reports, which may be highly sensitive and confidential in nature. - Ability to plan, develop, and coordinate multiple projects.
- Skill in organizing resources and establishing priorities.
- Knowledge of business English, punctuation, spelling, and math.
- Knowledge of modern office practices, procedures, and equipment.
- Ability to learn and apply rules, regulations, and procedures.
- Skill in operating modern office equipment including a personal computer, typewriter, copier, scanner, and others.
- Skill in organizing thoughts and verbalizing in a clear understandable way.
- Ability to compose effective and accurate correspondence and to type at a moderate with skill and accuracy.
- Ability to keep records and assemble and organize data.
- Ability to deal with the public and media in an effective and courteous manner.
- Ability to manage time effectively.
- Ability to receive a general outline of work to be performed and develop own sequences and methods within the scope of policies.
