What are the responsibilities and job description for the Cultural Affairs Grants and Operations Administrator position at City of Miami Beach?
- Experience in administering online grants software systems, including grants.gov, submittable.com and gosmart.org, among others required.
- Experience in website maintenance required.
- Experience in grant writing (local, state and/or federal) and proven track record of securing funding for special projects required.
- Financial auditing experience required.
- Review all grant final reports to assure compliance with program policies and guidelines and with the policies of the City’s Internal Audit Department.
- Review and respond to correspondence, emails or other inquiries concerning Cultural Affairs programs and general program matters in order to provide satisfactory and effective responses.
- Meet with cultural and business organizations, as needed, to explain various programs or projects; or to coordinate the implementation of a program or project.
- Research, plans and coordinate new programs and projects with direction from the Cultural Affairs Program Manager, contractors and other departments in order to assure that program activities are implemented and completed effectively and in a timely manner.
- Perform duties related to the day to day operations of the Cultural Affairs including oversight of program budgets.
- Assist Cultural Affairs Manager in managing the Miami Beach Cultural Affairs Committee; manage meeting notifications, attendance, minutes, agenda, etc.
- Transport equipment and supplies to special events.
- Work with support staff to coordinate contractual services to various individuals and groups.
- Liaise with other city or regional departments to ensure success in the coordination of public projects, programs and activities.
- Assist with presentations and other outreach activities.
- Maintain lists of artists, arts organizations, grant opportunities, community groups, funders and others to promote participation in and sponsoring Cultural Affairs programs.
- Performs related work as required
- Graduate degree from an accredited college or university in arts administration, art history, public administration, non-profit art management, or equivalent.
- Five (5) years of experience writing, responding to and evaluating grant proposals and applications, contracts, and final report auditing
- Position requires computer proficiency with word processing, spreadsheets, Word Press, Constant Contact, Go Smart, etc.
- Knowledge of Contract Compliance and non-profit reporting procedures.
- Experience with or knowledge of laws, rules, regulations, procedures and policies governing the funding and administration of federal, state and local grant programs.
- Ability to communicate effectively, both verbally and in writing
- Physical Requirements
- Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact.
- Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to, word processor, calculator, copier, and fax machine.
- Must be able to lift 50lbs
- Job will require standing and walking for long periods while on site, executing events.
- Ability to establish and maintain effective working relationships with elected officials, coworkers, the press the general public and members of diverse cultural and linguistic backgrounds regardless of race, religion, age, sex, disability, political affiliation, gender identity or sexual orientation.
- Ability to serve the public and fellow employees with honesty and integrity in full accord with the letter and spirit of all city ethics and conflicts of interest policies. Strong understanding of ethical behavior is required.
- Ability to maintain regular and punctual attendance.
- Performs related work as required.
- Reports to work as directed during an emergency as an essential employee of the City of Miami Beach.
