Job Description
JOB SUMMARY
This is a temporary position for a specified period of time to assist Human Resources staff with administrative functions during a major system implementation. The incumbent in this role will work a variable schedule throughout 2025, with no more than 1040 hours in total. The Human Resource Assistant will perform administrative tasks and services to support effective and efficient operations of the organization’s human resource department.
ESSENTIAL FUNCTIONS
- Maintain compliant employee personnel files.
- Assist management with onboarding new employees.
- Maintains accurate and up-to-date human resource files, records, and documentation.
- Maintains the integrity and confidentiality of human resource files and records.
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
- Enters new hire data into the HRIS.
- Maintains accurate records of active job openings and received applications; manages internal and external job postings.
- Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refer more complex questions to appropriate senior-level HR staff or management.
- Schedules and organizes materials for new hire orientation.
- Supports benefit enrollment process; updates benefit materials as needed and assists with open enrollment.
- Assists with activities related to onboarding of new hires such as confirmation of required background checks, scheduling fingerprint appointments, completion of required forms, I-9 verification, etc.
- Assist in organizing company events, training sessions, and employee engagement activities.
- Schedules meetings as directed.
- Assists with execution of recruitment activities such as creating job posts, coordinating/scheduling interviews, and pre-screening candidates.
- Processes badges for new employees, updates for current employees, and termination of badge access for exiting employees.
- Assists with the completion of various administrative tasks, including office supplies, special projects, and performs other duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED BY THE POSITION
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with HR software and databases is a plus.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Detail-oriented and able to multitask effectively in a fast-paced environment.
- Proactive and eager to learn with a positive attitude.
- Flexibility and Adaptability: Being able to juggle multiple tasks and respond to sudden changes or needs in the office environment.
SUPERVISORY CONTROLS
The Human Resources Director assigns work in terms of general instructions. Human Resources Manager and Coordinator will spot-check completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.
GUIDELINES
Guidelines include the Washington Administrative Code, Department of Labor rules and regulations, FLSA guidelines, bargaining unit agreements, and city and department policies and procedures. These guidelines require judgment, selection, and interpretation in application, with the supervision of the Human Resources Director.
COMPLEXITY/SCOPE OF WORK
- The work consists of varied human resource-related administrative duties. The variety of tasks to be coordinated and the need to multitask, combined with frequent interruptions, contribute to the complexity of the position.
- The purpose of this position is to provide administrative support to the Human Resources Department. Successful performance contributes to the efficiency and effectiveness of city-wide operations.

PHYSICAL DEMANDS/WORK ENVIRONMENT
- Frequently required to stand; walk; sit; talk; hear; use hands to finger, handle, or feel objects; reach with hands and arms; may occasionally climb stairs.
- Prolonged periods of sitting at a desk and working on a computer.
- Occasionally, required to lift and/or move up to 25 pounds.
- Regular, on-site attendance is required.
- Work is primarily in a climate-controlled office building with moderate noise levels.
SUPERVISORY AND MANAGEMENT RESPONSIBILITY

MINIMUM QUALIFICATIONS
- A high school diploma or equivalent is required; an Associate's or Bachelor's degree in Human Resources or Business Administration, or relevant work experience is preferred.
- At least 1–2 years of experience in an administrative or HR support role.
- Valid WA state driver’s license.
- All applicants must be able to successfully pass a background check process which includes reference checks and criminal history checks, or other.
