Overview
The City of Moville is seeking a dedicated and detail-oriented Deputy Clerk to manage administrative activities, utility billing, maintain records and support the City Clerk. An ideal candidate will play a crucial role in supporting the administrative functions of our city office. This position requires strong organizational skills, attention to detail, communicate effectively, and the ability to manage multiple tasks efficiently. As a Deputy Clerk, you will be responsible for maintaining confidential records, accurate record keeping, payment processing, utility billing, answering phones, assisting with citizens of the community, legal documentation, and providing exceptional customer service to residents and colleagues.
Responsibilities
- Perform clerical duties including data entry, filing, and document management.
- Serve as a liaison between the City Council and the public.
- Provide administrative support to the City Clerk, Council and other City departments
- Provide support to all residents and vendors in person, phone calls, emails and faxes.
- Prepare and maintain utility billing, accounts receivable, payment processing, and prepare bank deposits.
- Assist in the preparation and drafting of legal documents and correspondence.
- Maintain and manage official city records and ensure compliance with state and local laws, regulations and legal procedures.
- Collaborate with City Clerk to facilitate smooth office operations.
- Manage office supplies and equipment to ensure efficient workflow.
- Light housekeeping
Experience
- Previous experience in accounts receivable or banking is a plus.
- Previous experience in an office or legal administrative role is preferred.
- Proficiency in word processing software and data entry systems is essential.
- Strong organizational, communication and interpersonal skills with the ability to prioritize tasks effectively.
- Excellent customer service skills with a professional demeanor.
- Familiarity with clerical duties, municipal government tasks, records management is a plus.
- Ability to work independently as well as part of a team .
