Summary:
Under the moderate supervision of the assigned department supervisor, performs intermediate skilled administrative support work providing administrative support to department staff, receiving and processing incoming calls and visitors, preparing and maintaining records and files, typing a variety of documents, preparing reports, and related work as apparent or assigned.
Essential Duties and Responsibilities:

- Assist in reviewing court orders, determining obligations of defendants and conducting intake-interviews on probation cases based on collected data.
- Assist in scheduling, conducting, and documenting first appearance hearings to comply with the 48-hour judicial mandate. This will require weekend and holiday work hours.
- Answer and screen telephone calls, greet visitors and direct them to an appropriate area or person.
- Enters a variety of data into the computer; verifies statistical and other records for accuracy and completeness; enters and retrieves sensitive and restricted information on computer systems.
- Sort, index, and maintain various Court and/or Probation files, records and documents.
- Receives, sorts, processes, and distributes incoming and outgoing mail; assists with large mailings.
- Operates a variety of standard office equipment; performs minor and preventive maintenance on equipment and requests service when equipment is malfunctioning.
- Receive, secure and processes payments for citations, probation fees, open records, and other court related activities.
- Maintains superior customer service by assisting either directly, electronically, or by telephone to respond to customer inquiries promptly.
- Assist the open records custodian for the Municipal Court, as needed, in fulfilling open records requests that pertain to court or probation records.
- Conducts other clerical duties to include records retention/retrieval; records maintenance and document destruction operations.
- Performs specialized departmental tasks and duties as assigned.
