Description of Work
Position Overview:
The Athletic Coordinator supports the Athletic Supervisor in the development, coordination, and delivery of youth and adult athletic programs, leagues, and special events. This position also contributes to other recreational initiatives as needed. Responsibilities include assisting with program logistics, managing participant registration, scheduling facilities, coordinating equipment, and providing high-quality customer service to ensure the successful execution of all activities. The Athletic Coordinator collaborates with instructors, coaches, officials, participants, and community members to foster inclusive and engaging recreational experiences. Evening and weekend availability is essential to effectively support athletic and fitness programming.
Key Responsibilities:
- Program Support & Coordination
- Assist the Athletic Supervisor in planning, implementing, and overseeing youth and adult sports leagues, tournaments, and clinics.
- Support all stages of program logistics, including participant registration, team formation, scheduling, and regular communication with participants.
- Set up and break down equipment for games, practices, and special events; serve as the on-site administrator during events to ensure smooth operations.
- Attend games and practices to enforce rules, address issues in real time, and provide direct support as needed.
- Help recruit, train, and schedule intermittent staff, referees, and volunteers.
- Respond professionally to public inquiries about athletic programs through phone, email, or in-person communication.
- Assist in tracking participation metrics and gathering community feedback to recommend improvements.
- Facility & Equipment Coordination
- Support the coordination and scheduling of athletic fields, courts, and indoor recreation spaces.
- Monitor the inventory, condition, and availability of sports equipment and supplies, ensuring items are well-maintained and properly stored.
- Identify and report facility maintenance needs and safety concerns to the Athletic Supervisor promptly.
Additional Duties
- Administrative & Operational Support
- Maintain accurate program data using ActiveNET and internal tracking systems.
- Assist with budget tracking, supply purchasing, and processing of invoices.
- Help enforce departmental policies and procedures related to athletic and recreational programs.
Supervision: Receives direction from the Athletic Supervisor or their designee
Required Knowledge, Skills and Abilities
Knowledge of:
- Sports league operations and event logistics
- Facility and equipment coordination
- Customer service and communication practices
- Recreation software (e.g., ActiveNET)
- Basic budgeting and purchasing procedures
- Safety and risk management in athletics
- Rules of common sports (e.g., basketball, soccer, baseball)
- Staff and volunteer coordination
Skills & Abilities:
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Ability to work collaboratively and take direction from the Athletic Supervisor.
- Knowledge of basic sports rules, scheduling, and recreation software.
- Willingness to work evenings and weekends as needed.
Minimum Qualifications
- Education: Associate’s degree in Recreation, Sports Management, Physical Education, or a related field required.
- Experience: Minimum of two (2) years of experience in recreational sports programming, facility coordination, or a related area. Municipal or community recreation experience is a plus.
- Equivalency: A combination of education and at least four (4) years of relevant work experience may be considered in place of a degree.
- Physical Requirements: Must meet the physical and health standards necessary to perform the essential functions of the role.
Special Licenses/Certifications AND/OR Supplemental Information
- Certifications (Must be Current):
- American Red Cross CPR/AED (or equivalent).
- Additional certifications as required by local or state regulations.
