Oakdale is looking for its next team member to join our Community Development department, supporting both community development and engineering needs. This in-office position will be responsible for providing excellent service in a timely and accurate manner, attentive to statutory and ordinance-driven deadlines, and comfortable using technology. This position works closely with the public, other staff, and contractors - in person, over the phone, and through written communication - and should expect that will be a significant part of the position. Consider learning more about our team!Under general supervision of the Community Development Director, this administrative assistant position performs customer service, clerical and administrative support work.

The essential functions of the position include, but are not limited to the following:

  • Work collaboratively with other staff to provide excellent and responsive public service
  • Provide service to all customers in person, over the phone, and remotely
  • Provide administrative support such as composing and preparing correspondence, establishing and maintaining files, assisting in preparation of packet materials for city council and other pertinent meetings
  • Compose and prepare routine and other correspondence, public hearing notices and mailings; assist in preparation of packet materials, minutes and Requests for Council Action for city council meetings and other pertinent meetings
  • Assist with updating City forms and preparing web-ready materials
  • Manage and organize community development and engineering filing system
  • Strong mathematical skills to complete accurate computations
  • Ability to utilize cloud-based software for permitting scheduling and record keeping
  • Enter data for monthly/annual reports required by the Met Council, Department of Natural Resources, Department of Health, and the Minnesota Pollution Control Agency
  • Record approved resolutions and ordinances with Washington County
  • Represents the city in a courteous, responsive, and professional manner in all interactions
  • Ability to follow written and verbal instructions
  • Ability to communicate clearly, both verbally and in writing
  • Working knowledge of Microsoft Office Suite
  • Perform other duties as assigned

Processes, procedures, or software vary from one assignment to the next, although assignments are related in function and objective. This position requires flexibility to handle multiple requests.

This position carries out a group of procedures using the general methods and desired results that the supervisor indicates. This position selects from among the most appropriate of several guidelines, makes minor adjustments to methods, and refers unforeseen situations to others for solution. 

Moderate coordination of work with other individuals (non-supervisory).

  • Professional certification, training or licenses in office technology such as Microsoft Office Specialist (MOS) certificate, administrative/office support diploma, or office assistant certificate

Salary : $64,542 - $80,683
