Job Description
Under the general direction of the City Engineer, provides highly responsible and varied secretarial and administrative support to the City Engineer and team. Responsibilities include organizing files, managing records, and overseeing budget and fiscal tasks. The role involves monitoring contracts, tracking professional license renewals, and ensuring timely membership renewals. Additionally, the position supports research initiatives and coordinates projects to ensure they are completed accurately and within deadlines.
Key duties also include managing personnel transactions, coordinating travel, training, and meeting arrangements, and prioritizing correspondence, mail, and calls. Prepares and compiles reports and correspondence for the City Engineer or manager’s signature, while also managing office workflow. This includes coordinating office functions, managing supplies, scheduling meetings, and handling sensitive information with discretion.
The role further assists with the interview process for potential candidates and prepares meeting agendas, takes minutes, and tracks action items. Handles inquiries and performs a variety of duties independently, completing administrative projects and processes with minimal supervision.
Additional responsibilities include tracking vehicle maintenance and managing license renewals for necessary software programs, as well as organizing new employee workstations and supplies. The position coordinates employee events and staff training related to benefit changes. It also includes planning emergency departure routes for the office floor.
Further duties include creating and submitting Agenda Council Items, as well as coordinating and tracking agenda items with management.
Minimum Qualifications
High School Diploma/G.E.D. Certificate and four (4) years progressively responsible secretarial and administrative experience, including office management and the use of advanced computer skills and software such as Microsoft Word, Excel, and PowerPoint; or an equivalent combination of education, training, and experience. May be required to pass a background check which includes a polygraph depending on the area of assignment. May be required to demonstrate typing, and Microsoft software proficiency, depending on the area of assignment. May be required to become a Public Notary.
