Job Description
Office Manager - Engineering
Summary:
Under the general direction of the City Engineer, performs clerical and office work with the ability to obtain knowledge of planning and building principles and practices. Follows established procedures while involving considerable independence and requiring a high level of attention to detail. Performs diversified and highly responsible work consisting of coordinating the project tracking aspects of Capital Improvement Projects, departmental budgeting, and administrative duties. Work is performed under the administrative direction of the City Engineer.
Essential Duties and Responsibilities:
Assists in the financial and project tracking aspects of managing Capital Improvement Projects.
Assists the City Engineer in the development and distribution of Request for Proposals (RFPs).
Assists the City Engineer in writing City Commission agenda items.
Assists in the preparation of the Engineering Division's operating budget.
Assists in maintaining proper records for work being performed by and for the Engineering Division.
Participates in office routines such as compiling reports and assists in reviewing and preparing contracts and specifications.
May organize or participate in departmental training, safety and any coordination activities.
Assists with Grant administration.
Proofreads staff reports and other documents.
Prepares completed projects to be stored in the permanent long-term record retention programs.
May assist the Engineering Coordinator with additional administrative duties.
Assists in preparation for, response to, and recovery from, the impacts of a wide variety of disasters or emergency situations and may be temporarily assigned to other duties, locations, and shifts.
Meets attendance requirements.
Promotes positive customer service environment internally and externally.
Performs other job-related functions as assigned.

Education and/or Experience:
Two-year college degree and knowledge of planning and building processes, terminology, and practices supplemented by two (2) years’ experience in office administration; or any equivalent combination of training and experience required.

Possession of a valid Florida driver’s license.
Ability to meet deadlines and establish daily work priorities in accordance with the needs of department; and to make adjustments during the day as needed.
Advanced computer skills required, specifically experience in Microsoft suite (Outlook, Word, Excel, PowerPoint, Access, Publisher, Visio, and Access) and ability to acclimate quickly to newly introduced programs.
Ability to sufficiently understand technical functions of department and City in order to refer questions on various topics to appropriate staff and other departments.
Ability to keep moderately complex records and to prepare reports from such records.

Pay: $19.91 - $26.00 per hour
