The City of Oxnard's Finance Department is seeking a Mail Clerk with strong technical and customer service skills to be part of the team. This individual must be comfortable with a substantial amount of walking and driving a motor vehicle. The ideal candidate will have excellent organizational, interpersonal and communication skills.
WHAT YOU’LL DO:- Receives, sorts, processes, routes and delivers various items to offices, storage area, or central inventory.
- Prepares and maintains appropriate records and files.
- Prepares the mailings.
- Picks up and delivers the mail to the Post Office.
- Operates technical equipment, including but not limited to, inserting machine, copiers and folding equipment, and postage metering machine.
- Handles special mailings such as certified and registered mail, packages and Federal Express.
- Answers telephone and receives inquiries, providing information based on considerable knowledge of programs and activities, or referring callers to appropriate personnel, as necessary.
- Orders office supplies.
- Takes envelopes to the mail house and picks up extra mailings from the mail house and various Post Offices.
PAYROLL TITLE: Administrative Services Technician
CLASSIFICATION SUMMARY:
This class is the first level in a nine-level Administrative Services series devoted to providing management analysis and oversight; program marketing, outreach and education; fiscal analysis and oversight; and administrative/clerical/customer service support to programs, projects, executive staff and elected officials. Incumbents perform standardized work following prescribed procedures and instructions. As assigned work may involve clerical tasks such as sorting, routing, filing, reception, processing, typing, cashiering, customer service, proofing and/or data entry.
DISTINGUISHING CHARACTERISTICS:
This classification is distinguished from the Administrative Services Technician, Senior in that it performs routine clerical support and customer service duties.
SUPERVISION RECEIVED/SUPERVISION EXERCISED:
Receives close supervision and specific direction regarding assignments and deadlines.
WORK SCHEDULE:
This position is a regular, part-time position working 20 hours per week. In addition, this position may be required to be available to work additional hours in response to peaks in workloads and changes in department needs. This position is governed by the overtime provisions of the federal Fair Labor Standards Act and is eligible for overtime pay.(This class specification represents only the core areas of responsibilities; specific position assignments will vary depending on the needs of the Department.)
Performs clerical tasks which may include: sorting, routing, scanning and/or filing documents, mail, forms or correspondence; preparing, organizing and distributing forms and routine correspondence.
Provides reception and customer service by answering and prioritizing calls, greeting customers and providing information and services related to assigned area; responds to inquiries, complaints and requests for information; assists with forms; takes messages; and refers customers to appropriate resource.
Reviews, verifies and/or enters data and information; runs reports; tracks and maintains activity logs; may accept and process payments and transactions, handle cash and make change, enter appropriate payment codes, and/or total and reconcile receipts.
Organizes and maintains files, records and documents according to records retention procedures; monitors supply levels and initiates supply orders; maintains and organizes supplies.
Performs other duties of a similar nature and level as assigned.
POSITION SPECIFIC RESPONSIBILITIES MIGHT INCLUDE:
Positions assigned to administrative support may be responsible for:
Receiving, sorting, processing, routing and delivering mail;
Operating office machines such as copiers, folding or postage metering equipment;
Providing reception, answering phones and directing callers/visitors;
Preparing and typing documents;
Gathering information and processing applications, forms or payments;
Scheduling meetings and maintaining calendars;
Processing accounts payable/receivable transactions;
Producing standard computerized reports.
The following are the minimum qualifications necessary for entry into the classification:
EDUCATION:
- High School Diploma or GED
EXPERIENCE:
- Two (2) years of related experience
- Driving is required in this position; possession of, or ability to obtain, a valid class C California driver's license.
- Must be able to speak and understand English to effectively communicate with fellow employees, customers, and vendors.

NOTE: For most positions, the City of Oxnard relies on office automation (Microsoft Office/Google) and web-based enabled tools, therefore candidates must be proficient and comfortable with computer use to perform functions associated with on-going work.
Regular and reliable attendance, effective communication skills, and development of effective working relationships are requirements of all positions.
Employees are required to participate in the City's direct deposit plan and are paid on a bi-weekly basis.
This position requires a 12 month probationary period.
