What you'll do:
This position is to process building permit applications through the permitting cycle, from routing plans to plans examiners, to permit issuance, inspection scheduling, and the archiving of completed projects. Work involves varied and highly responsible clerical, technical, and administrative functions in the processing and examination of applications and inspection requests for building permits and certifications of occupancy.
Essential Job Functions
- Provides customer service to construction professionals and the public.
- Ensures that permits and applications are processed correctly.
- Prepares documents for issuance, such as certifications of Occupancy or Completion.
- Prepares electronic permit applications to distribute to the appropriate departments and maintains department electronic files.
- Distributes required copies to appropriate departments and maintains department files and updates the filing system as required.
- Processes contractor’s and homeowner’s requests for permitting, calculates fees, and collects funds due; balances and justifies to department records at the beginning of business day, and submits funds and records to finance department.
- Answers telephone inquiries regarding permitting requirements, inspections, and fees; notifies contractors of the status of permits and inspections.
- Accesses computer programs appropriate for the input or retrieval of departmental records and the records of other agencies.
- Prepares and organizes all materials required for scanning.
- Prepares files for the imaging process.
- Emails rejected comments to contractors, developers and home owners.
- Performs other related duties as required/assigned.
Qualifications
EDUCATION AND EXPERIENCE
- High School Diploma or GED.
- Two (2) years of related work experience in administrative support functions demonstrating customer service skills and the ability to apply acute attention to detail.
- Must possess FEMA 100, 200, and 700 certifications, or the ability to obtain within the first six (6) months of employment.
KNOWLEDGE, SKILLS, AND ABILITIES
- Knowledge of office terminology, methods, practices, and procedures, preferably including those related to the construction industry.
- Knowledge of business English, punctuation, and arithmetic.
- Skill in the use small office equipment, including copy machines or multi-line telephone systems.
- Skill in using computers for data entry.
- Skill in using computers for word processing and accounting purposes.
- Ability to handle the demands of heavy walk-in customer contact and phone work.
- Ability to read and interpret building plans and site plans and identify and process the various documents associated with each permit.
- Ability to take directions effectively to accomplish workload by working with others with overlapping responsibilities.
Working Conditions & Physical Requirements
- Work environment is typically performed in a safe and secure work environment that may periodically have unpredicted requirements or demands.
- The work is medium and requires exerting up to 50 pounds of force occasionally, and up to 30 pounds of force frequently, and up to 10 pounds of force constantly to move objects.
- Additionally, the following physical abilities are required: balancing, climbing, crouching, feeling, manual dexterity, grasping, handling, hearing, kneeling, lifting, mental acuity, pulling, pushing, reaching, repetitive motion, speaking, standing, stooping, talking, visual acuity, and walking.
Salary : $21 - $27
