What are the responsibilities and job description for the Clerk III position at City of Pawtucket?
SUMMARY
Serves as a liaison between constituents and the City by channeling complaints to proper divisions via email and/or telephone and responds to constituents regarding the same; performs clerical work, refers technical or policy questions to a superior. In the case of a major emergency, will coordinate with state and federal agencies.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Includes, but is not limited to
- Answering phones and responding to constituents via telephone and/or email, dispatching Public Works Crews, sending and receiving messages to supervisors and DPW staff via two-way radio, landline/cell phone, email, tablet, and work order systems.
· Selling trash and recycling carts, schedules appointments for mattresses, box springs, TVs, and metal, and collects payments for certain items to be recorded in the register system.
· Receiving and recording checks from residents and vendors and preparing daily deposits.
· Preparing accident reports, including both workers’ compensation and vehicle liability and notifying proper authorities of accidents.
· Preparing weight slips and tonnage reports for recycling, trash, leaves, metal and school pickups and scheduling homes for appliance disposal.
· Processing requisitions for the division as directed, which includes, but is not limited to, entering/creating purchase requisitions, change orders, invoice payments, contracts, and projects following the Purchasing Guidelines.
· Interacting directly with all departments within the City of Pawtucket, outside agencies and outside vendors.
· Working with other department staff to improve customer service to residents, vendors, and agencies.
· Supervising and participating in special studies and projects involving moderately complex work methods and the exercise of considerable judgment.
· Tracking and recording all the waste slips at the transfer station and transactions slips for the Johnston landfill, reviewing paperwork for proper billing and audit purposes.
· When appropriate, sending bills to recover expenses.
· Monitoring and tracking all City utility bills and sends documents to Finance with proper information needed, sending out monthly invoice for reimbursements per rentals agreements with the City.
· When assigned, keeping records and preparing reports of the overall cost of expenses during emergency situations. For example, but not limited to snow storms, hurricanes, floods, etc.
· Coordinating with Public Utilities.
· Performing computer data entry and spreadsheets.
· Processing registration forms for parks and recreation programs, accepting payments for these programs, taking reservations for birthday parties, picnic rentals, weddings, etc., and collecting the fees for these services.
- Typing letters, reports, forms, and other materials from copy, rough draft, or dictation.
- Composing and typing routine correspondences via email.
· Performing other related work as assigned by the Department Manager.
EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); with considerable knowledge of business English, spelling, arithmetic, and modern office procedure. Must have a working knowledge of municipal and state procedures, systems, ordinances, and regulations. Must have the ability to plan and establish and maintain effective working relationships with co-workers and City and State Agencies. Must be computer literate with working knowledge of Microsoft Office and Google Suite; a test will be administered in each category. Must be able to type 35 words a minute; a typing test will be administered
MATHEMATICAL SKILLS
Ability to complete simple mathematical calculations in all units of measure, using whole numbers, common fractions, and decimals.
