JOB SUMMARY
This position is responsible for providing administrative assistance for the operations of the Public Works Department.
ESSENTIAL FUNCTIONS
- Answers telephone and greets visitors; provides information and assistance; takes messages; refers to appropriate personnel.
- Enters service requests into the database; forwards to proper department; follows-up on work performed and closes work orders upon completion.
- Maintains and processes employee records, including performance evaluations, leave sheets, and other documents.
- Enters purchase requisitions, payment requests, and receiving reports.
- Assists with issuing employee safety equipment.
- Provide administrative support for the Fleet Department within Public Works.
- Contact vendors for updates, inquiries, and information.
- Complete part order pickups for the Fleet Department, when needed.
- Prepare documentation for decommissioned equipment and vehicles for auction.
- Assists with monthly reports.
- Provides administrative assistance to department staff as needed.
- Performs related duties.
KNOWLEDGE REQUIRED BY THE POSITION
- Knowledge of modern office practices and procedures.
- Knowledge of city and departmental policies and procedures.
- Knowledge of computers and job-related software programs.
- Knowledge of budget management principles.
- Skill in prioritizing and organizing work.
- Skill in the provision of customer services.
- Skill in the maintenance of files and records.
- Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.
- Skill in oral and written communication.
SUPERVISORY CONTROLS
The Public Works Administrative Coordinator assists with work assignments and job training. This position is a direct report to the Public Works Director.
GUIDELINES
Guidelines include city and department policies and procedures. These guidelines are generally clear and specific, but may require some interpretation in application.
COMPLEXITY/SCOPE OF WORK
- The work consists of related administrative duties. Frequent interruptions contribute to the complexity of the position.
- The purpose of this position is to provide administrative support for the operations of the Public Works Department. Successful performance contributes to the efficiency and effectiveness of those operations.

- Contacts are typically with co-workers, other city employees, vendors, and members of the general public.
- Contacts are typically to give or exchange information, resolve problems, and provide services.
PHYSICAL DEMANDS/ WORK ENVIRONMENT
- The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, or stooping. The employee frequently lifts heavy objects and climbs ladders.
- The work is typically performed in an office.
SUPERVISORY AND MANAGEMENT RESPONSIBILITY
None.
MINIMUM QUALIFICATIONS
- High school diploma or equivalent (associate or bachelor’s degree in business administration, public administration, or a related field preferred).
- 1-2 years of administrative experience, preferably in public works, government, or municipal operations.
- Experience handling records, correspondence, and customer service in a professional setting.
