About This Position

The Office of Environmental Programs (OEP) and the Office of Innovation are seeking an Administrative Assistant II to handle a variety of administrative duties reflecting the business needs of these departments and their programs. The OEP is an independent function within the City of Phoenix and the Office of Innovation is a function of the City Manager's Office. Both Offices are tasked with, in part, advancing environmental protection, regulatory compliance by promoting sound environmental policies and practices though leadership, training, and education, and discovering and developing innovative technics and methods for conveying core essential services to residents.

The OEP provides independent technical expertise and environmental leadership to City management, serves as a technical and/or management resource for operating departments, and leads in the creation and implementation of city-wide environmental policies and programs to reduce environmental risk and liability in City operations. OEP also coordinates certain sustainability programs, including climate action, sustainable purchasing, and food systems. The Office of Innovation is dedicated to using data to drive decisions and to champion its use across the city in an efficient and equitable way.

The Administrative Assistant will handle a variety of administrative duties related to OEP's activities including the assisting and staffing of the Environmental Quality and Sustainability Commission (EQSC) and its subcommittees, assisting with special projects such as Rio Reimagined and Light Rail Expansion, supporting staff OEP programs areas such as the Clean Water Act and Endangered Species Act responsibilities, the Phoenix Resilient Food System programs, the Brownfield Program, Climate Action work and others. Work is performed under the general supervision of an Environmental Programs Administrator, Environmental Programs Manager, or other supervisor. Duties also include project work within the OEP and innovation Offices.

Additional Tasks Include

  • Gathering information, performing statistical analyses, assisting in developing administrative processes and developing improved systems, procedures, and forms.
  • Aiding in the preparation of reporting requirements.
  • Assisting in budget tracking, scheduling, contracting, and communicating with contractors, vendors, and residents participating in the programs.
  • Learning and becoming familiar with the SAP accounting and procurement systems and website content maintenance.
  • Working closely with the Environmental Programs Administrator, Chief Innovation Officer and the Environmental Programs Coordinators, Managers.

The ideal candidate is an excellent communicator both in spoken and written form, well organized, adaptable, a team player, can manage competing tasks and priorities, and is curious and excited about the creation of new programs.

SALARY

Pay Range: $63,044 to $107,806 annually.

Hiring Range: $63,044 to $97,780 annually.

Minimum Qualifications

  • Bachelor's degree in public or business administration or a related field.
  • Three years of professional experience in public administration or governmental research or finance.
  • Other combinations of education and experience that meet the minimum requirements may be substituted.

  • Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.

Preferred Qualifications

The minimum qualifications listed above, plus:

Experience In / With

  • Procurement operations utilizing SAP.
  • Budgetary and ProcurePHX experience.
  • Purchasing and utilizing the eProcurement process is critical.
  • Budget monitoring and purchasing.
  • Office/reception area management, including providing high-quality customer service and maintaining office equipment and supplies.
  • Handling confidential information concerning employee transfers.
  • Report writing and creating/managing organizational charts.
  • Onboarding new employees.
  • Travel and training requests.
  • Working collaboratively with external stakeholders.
  • Processing records requests.
