ABOUT THIS POSITION
The Public Works Department offers internal support for other city departments as well as external services to residents of Phoenix. Our department culture is centered around delivering customer satisfaction while continually striving for operational efficiency. The Public Works Department is also dedicated to creating a more sustainable Phoenix. We achieve this by providing waste diversion education and reliable diversion programs, while also collaborating with organizations and businesses to develop a robust, sustainability-focused economy.
The Fleet Services Division is seeking a Support Services Aide to perform relatively complex clerical, accounting, dispatching, and inventory work while providing sound customer service.
Duties include:
- Creating and maintaining computerized databases.
- Preparing periodic summary reports.
- Updating multiple spreadsheets and records.
- Processing invoices.
- Tracking work orders and requests for service.
- Compiling statistics for management reports.
- Scheduling equipment use.
- Providing general clerical support.
The position will provide administrative support functions, which include answering phone calls from internal and external customers, receiving, writing, and processing e-mails,
inputting information into a database, tracking staff time and work completion, processing monthly invoices for services delivered, working in Microsoft Word and Excel,
and other administrative tasks that are required for the daily operation of the section.

SALARY
Pay Range: $18.60 to $35.08 per hour.
Hiring Range: $18.60 to $31.82 per hour.

MINIMUM QUALIFICATIONS
- Two years of responsible clerical work experience which provides the ability to maintain a variety of financial and related records, perform basic mathematical computations, operate base radios or telephone equipment, order and dispense supplies and materials, and deal with the public.
- All finalists for positions are subject to a criminal background check applicable to the department or position.
- Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage. PREFERRED QUALIFICATIONS
The minimum qualifications listed above, plus:
Experience with:
- SAP/SRM or other similar applications related to ordering supplies, processing invoices, and creating goods receipts.
- Microsoft Excel, Word, Publisher, and Outlook.
- Working with vendors (establishing, coordinating, and maintaining working relationships).
- Working independently with minimal supervision.
- Prioritization and management of assigned tasks.
- Customer service and working in a team environment.
- Working with a fleet management software such as Assetworks, Faster, Geotab, Reynolds, or similar applications.
- Maintaining records and tracking status for vehicle usage, maintenance, and repair.
- Utilizing Crystal Reports to generate reports on fleet utilization, maintenance costs and vehicle usage.
