Job Details

Summary of Duties: Under general supervision, the Municipal Court Clerk II is responsible for all aspects of customer service as they relate to the municipal court functions. This includes processing Class C misdemeanor violations filed in the Municipal Court, and collecting fines, fees, and bond monies associated with these violations.

Distinguishing Characteristics: This is the journey-level classification in the Municipal Court Clerk series. The incumbent follows diversified procedures and implements processes to accomplish end-results, within guidelines. This class is distinguished from Municipal Court Clerk, Senior in that the latter is a higher-level class in the series that performs more complex technical, investigative, and supervisory duties requiring a higher level of knowledge and skill.

Examples Of ESSENTIAL JOB FUNCTIONS

  • Ability to perform all Municipal Court Clerk I and II functions.
  • Collects traffic fines, State fees, and jail bonds at the cashier window and through the mail; processes extensions to pay fines; verifies references on applications per State guidelines.
  • Balances totals against computer system at the end of the day.
  • Files and scans Municipal Court documents, reports, and information into court management system.
  • Responsible for all aspects of collection efforts for delinquent cases.
  • Responds to inquiries from the public in person and on the telephone; processes various requests as needed.
  • Prepares notices, complaints, summons, subpoenas, and other related documents.
  • Corresponds with other city departments and divisions in the course of carrying out duties and assignments.
  • Regular and consistent attendance for the assigned work schedule is essential.

Marginal Duties

  • Performs other duties as assigned.

Typical Decisions: The incumbent answers routine questions from citizens and determines what steps need to be taken to properly process cases.

Minimum Qualifications

Knowledge of: Policies, functions and activities of a municipal court; local and State regulations governing traffic fines, fees, and jail bonding procedures

Skill in: Completing simple mathematical calculations; typing, entering information accurately into the computer system; communicating effectively both verbally and in writing; proofreading and verifying data; following verbal and written instructions; operating standard office equipment; reading and interpreting State and local codes, City ordinances, and other materials. Preference may be given to candidates who are bilingual in English and Spanish.

Education: High school diploma or GED equivalent.

Experience: Two (2) years of extensive customer service experience including the collection and management of cash and general clerical duties.

Licenses and Certifications: Must obtain a Court Clerk Level I certification within eighteen (18) months of employment.

Conditions of Employment: Must pass a drug test, criminal history background check, periodic CJIS background check (for positions requiring access into Police buildings) and social security number verification check.

Physical Demands and Working Conditions: This is primarily an office classification although standing in work areas and walking between work areas may be required. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator and to operate standard office equipment; vision to read printed materials and a computer screen; hearing and speech to communicate in person and over the telephone. Positions in this classification occasionally bend, stoop, kneel, reach, push, and pull drawers open and closed to retrieve and file information. Employees must possess the ability to lift, carry, push, and pull materials and objects weighing up to 25 pounds.

Employees work in an office environment with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances. Employees may interact with upset staff and/or public and private representatives in interpreting and enforcing departmental policies and procedures.
