Job Description

The Administrative Support Supervisor oversees clerical and office support activities, coordinating administrative functions within the department. Responsibilities encompass supervising technical and specialist support staff, managing complex administrative tasks, and ensuring efficient department operations. This role involves : training staff, collaborating with management, prioritizing work, developing and implementing process improvements, resolving staff issues, preparing reports, and assisting subordinates. Supervisory duties include conducting performance evaluations, coordinating training, and managing staff hiring, discipline, and termination processes.

Duties and Responsibilities

  • Supervises staff including conducting performance evaluations, coordinating training, and implementing hiring, discipline and termination procedures
  • Provides coordination and oversight of technical and specialist support staff and administrative operations and processes; responds to management needs by establishing priorities, schedules and timelines; determines work procedures and workflow in order to meet tight deadlines
  • Assists in providing administrative and clerical support activities as required.
  • Process service contracts for demolitions and process other contracts as required
  • Coordinates and processes all travel required by the division
  • Performs research, gathers pertinent information, tracks and analyzes data, and prepares complex reports and documents. Maintains financial and business reports, assists with procuring goods and services; monitors, maintains and reviews operating expenses, account assignments and budget reporting
  • Maintains and oversees the maintenance of databases, files, records and departmental documentation to ensure adherence with records retention policies and procedures

Typical Qualifications

Education and Experience :

Associate Degree in business administration or related field and four years of advanced clerical and office support experience, preferably in area of assignment

An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.

    Positions in this class typically require : reaching, standing, walking, pushing, pulling, lifting, fingering, grasping, talking, hearing, seeing and repetitive motions.

    Light Work :

    Exerting up to 20 pounds of force occasionally, and / or up to 10 pounds of force frequently, and / or a negligible amount of force constantly to move objects.

    Working Conditions :

    Work is routinely performed in an indoor, office environment.
