In this role, you will work closely with the Chief Information Officer and the Mayor’s office, requiring a high level of professionalism, maturity, and discretion. Your work will be complex and, at times, technically challenging, so a strong ability to think critically, stay organized, and problem-solve is essential. Advanced proficiency with various computer systems and programs is also a key requirement. As the sole administrative professional in TIS, you will provide direct support to the Chief Information Officer and Deputy Director. Future growth of the department may offer opportunities to lead and coordinate other administrative staff.
Ideal candidates will have experience in a technology-related field. Critical thinking, sound judgment, and initiative are crucial as you will be responsible for identifying issues and implementing effective solutions. This position may also involve supervising staff and overseeing certain departmental functions. You will play a key role in the department's budgeting process, with responsibilities that include researching, collecting, and analyzing data. Preference will be given to candidates with specialized skills in budgeting, technology contracts, and software licensing.
This is an onsite/hybrid position.
This position is full-time and might require some weekends and evenings.

- Coordinates and oversees office operations and may lead the work of other administrative staff within a department and/or division; identify resource needs and develop action plans to achieve departmental objectives
- Establish and update departmental processes, procedures and policies as advised by senior management
- Research, evaluate and analyze data and provide advice and suggestions to others for use when making decisions regarding policy, procedural or operational changes including financial information, project closeouts and budget development
- Communicate information about departmental policies, procedures and programs to staff
- Research and review documents and data to determine how they will affect internal processes and determine appropriate course of action and respond within scope of authority
- Manage special projects; independently lead, coordinate and plan work assignments
- Independently develop conclusions and recommendations and present them to others; assemble and summarize data for management and prepare reports including budget summary/information as directed
- Provide confidential and advanced administrative support to Director and/or Manager
- Answer customer questions on behalf of Director and consult with Director and others as appropriate
- On-board supplemental and new employees on processes and procedures as they relate to the department
- Monitor, track and reconcile budgets and expenditures within the administrative scope of a project, program and/or department
- Advanced knowledge of office practices, methods and procedures
- Knowledge of applicable federal, state and local laws, codes, regulations and statutes
- Advanced knowledge and skill in working with a variety of software and computer products including MS Word, Excel and SharePoint
- Applicable knowledge of grammar, mathematics, statistics general budgeting practices and financial record keeping
- Contract review and management
- Skill in communicating clearly and effectively
- Advanced skill in resolving complicated problems
Education and Experience
- High school diploma or equivalent; 2-4 years of college level coursework preferred,
- Six years of progressively responsible administrative support experience at the executive level
- Office management experience preferred.
- May require relevant certification or higher education coursework as it pertains to the department/division
- Equivalent combination of education, experience and training that provides the required knowledge, skills and abilities
- Valid Washington State Driver's License may be required
