What are the responsibilities and job description for the Communications Project Manager position at City of Rochester (NY)?
This is a Competitive Class position. The individual selected to fill this vacancy will be given a provisional appointment and will be required to participate in the next Civil Service Examination for this title.
A qualified applicant may be provisionally appointed and serve in the position until a Civil Service Examination is administered and an appropriate eligible list can be established to make a permanent appointment in accordance with the Civil Service Rule of Three. - Serve as project manager for all multifunctional initiatives to ensure clear communication and alignment across Bureau teammates;
- Oversee Communications Production Calendar and Mayoral Speaking Calendar;
- Create detailed schedules, set deadlines, and monitor progress for communications projects, adjusting workloads as necessary;
- Meet with Bureau beat leads to learn more about new projects, define plans of action, give progress updates on existing projects, and identify/communicate any issues;
- Utilize Bureau project management software to coordinate and track projects, schedule and assign jobs, and maintain shared job files, ensuring version control and availability and organization of final project files;
- Serve as Bureau’s proofreader;
- Serve as main point of contact and coordinate Bureau contracts and subscriptions with outside vendors, freelancers, contractors, etc., to ensure the provision of professional services including but not limited to advertising brokerage, advertising copywriting, earned media measurement, ASL interpreting, Spanish translation, printing, promotional items/apparel, etc.;
- Work closely with Purchasing Team, operating within City Hall guidelines, to obtain multiple quotes when outsourcing work, etc.;
- Develop and maintain healthy working relationships within the Communications Bureau and across different departments within the City to ensure smooth and efficient workflow.
Bachelor's degree in Business Management, Advertising, Marketing, Public Relations, Communications, or closely related field AND three (3) years of experience in marketing communications, advertising agency traffic, or communications project management.
OR
Five (5) years of experience in marketing communications, advertising agency traffic, or communications project management.
Past experience in traffic or production in a marketing agency is preferred.
