General Description
This position combines a great deal of public contact with the performance of routine clerical duties. Employees in this position answer office telephones, receive office visitors, and give and obtain information, as well as perform routine clerical duties. Employees work under direct supervision and do related work as required.
CITY RESIDENCY WILL BE REQUIRED WITHIN ONE YEAR OF HIRE.
Typical Work Activities
- Provides routine and complex information in-person and on the telephone, in English and Spanish, to a variety of people (e.g., constituents, special interest groups, governmental agencies, general public);
- Receives telephone calls on a multi-line telephone and connects callers with proper parties;
- Types correspondence and / or reports for members of the City Clerk's Office staff;
- Translates both written and verbal communications from English to Spanish and Spanish to English;
- Receives and routes mail to the appropriate City Councilmember and office staff;
- Maintains files for the Clerk's Office permanent records, organizes and develops new files, makes simple file searches, and pulls needed information from files;
- May schedule appointments and arrange meetings for City Clerk's Office staff;
- Schedule, verify and check-in wedding ceremonies; completes and processes marriage certificates; also provides Spanish translation for wedding ceremonies as needed;
- Maintains calendar for public meetings and use of City Council Chambers;
- Produces and distributes monthly calendar to appropriate staff;
- Prepares survey letters;
- Prepares specific monthly reports for NYS as required;
- Handles intake process for liquor and cannabis license applications and maintains ongoing list of applicants;
- Reconciles Daily Reports as needed.
Minimum Qualifications
High School Diploma or Equivalent AND
Two (2) years of full time experience (or its part time equivalent) performing general clerical activities which included entering data into a personal computer.
