JOB OBJECTIVES:
Performs the duties of Administrative Assistant II of the Municipal Court in compliance with state regulations as directed by the Municipal Court Judge. The Senior clerk will perform a variety of routine duties to accomplish the processing of citations and court cases for the court. The employee is under the immediate supervision of the Court Administrator. Decisions are made daily; however, can follow established procedures and/or seek guidance from his/her supervisor. The employee has daily contact with the public which requires courtesy, tact and diplomacy.
ESSENTIAL JOB FUNCTIONS:
- Performs, general and specialized office clerical work such as computer data entry and filing, coping and operating office equipment.
- Responsible for prompt and accurate performance of all clerical operations.
- Greets and provides proper customer service to all incoming calls and walk-ins.
- Will be responsible for the handling money.
- Make arrangements for payments on fines when payment cannot be made.
- Assist public with court procedures.
- Schedule court hearings.
- Prepares and process case files for various types of proceedings, including forwarding appropriate notice to corresponding parties.
- Court procedures, statutes and rules of court, rules and procedures of courtroom, some knowledge of legal documents and legal terminology.
- Prepare daily deposit in the absence of the Court Administrator.
- Perform other job related tasks as required.
- Takes and relays accurate messages.
- Will perform other job related duties as assigned.
EQUIPMENT/MATERIALS:
Computer, printer, scanner, calculator, copier, and other general office equipment.
WORKING CONDITIONS/PHYSICAL DEMANDS:
Works in a well-lighted, air-conditioned office with minimal hazard to health or body. Will normally work a 5-day, 40 hours per week; however, some weekends. Little or no physical effort is required; involves sitting and standing as job requires.
EDUCATION/SKILLS REQUIRED:
Must have a High School Diploma with a minimum of (1) year experience in a related field. Must be computer literate and proficient in MSWord, Excel, Internet and Microsoft Outlook. Requires that the individual have excellent grammar and communication skills. Must communicate orally in the English and Spanish language. Must also have a valid Texas driver’s license with a satisfactory driving record.
