What are the responsibilities and job description for the Senior Services Coordinator position at City of San Luis?
As the Senior Services Coordinator, you will:
Coordinate, evaluate and assist with oversight of the center’s programs, activities, special events, and services suitable to participants; ensure compliance with applicable internal and external requirements.
Orient new employees and volunteers to the division and provide training; ensures that staff understand and comply with unit policies, procedures, and standards; interpret rules, regulations, and procedures; provide interpretation of policies based on management expectations.
Coordinate, create and promote the promotion and marketing of Senior Center activities and events to attract participation and create awareness through various channels, such as social media, flyers, and community outreach.
Provide administrative support services such as assisting with time and attendance, compiling data, preparing reports, requesting quotes, processing requisitions (procurement process), travel requests, budget transfers and any other related activities.
Monitor & replenish inventory levels for office needs, program operations, and center events.
Provide professional customer service to internal and external customers; represent the division to the public & outside groups, organizations & agencies; responds to a wide variety of questions, comments, and/or concerns to resolve related concerns.
Collect registration for new seniors & deposits money from the WACOG Meal program to the City Billing & Collections Division.
Prepare a variety of difficult and complex reports, letters, resolutions and other documents; gather, audit, analyze, maintain and monitor complex work logs and tracking systems; review and analyze complex legal and administrative records to identify needed information; develop and maintain complex spreadsheets and databases, either by hand or computer; develop forms, form letters and related documents.
May provide management support as needed; duties and responsibilities may range from approving staff time off requests, timesheets, or any other directive provided by Parks and Recreation Administration.
Serve as Liaison with internal and external constituencies and other interested parties regarding programs.
May provide transportation services (using a van) for seniors to and from the Senior Center Facility and during outings/field trips in out out of town.
Perform other related duties as assigned
Possess knowledge of:
- Applicable federal, state and local laws, coded, regulations, statutes, policies, and procedures applicable to work unit.
- Administration and supervision principles and practices
- Standard office practices, procedures, and equipment
- Business English, spelling, grammar, punctuation, and arithmetic calculations
- Advanced filing and record keeping systems; complex correspondence and report formats.
- Budgeting principles along with purchasing and inventory control
- Modern office equipment and related software applications such as MS Office (Word, Excel, Outlook, Team, PowerPoint, etc.)
- Marketing theories, principles and practices
- Record keeping methods and procedures
- Customer Service and public outreach principles
- Safety and First Aid emergency procedures
- Current food safety and health standards
- Plan, coordinate and prioritize multiple tasks, projects, and program activities.
- Implement, interpret and explain department policies and procedures.
- Understand the community in relation to its recreational needs, and marketing methods.
- Develop and implement innovative activities, events, programs and services.
- Supervise, train, and evaluate assigned personnel.
- Prioritize and delegate appropriate tasks to subordinates.
- Establish and maintain effective working relationships with City personnel, external agencies and the general public.
- Exercise good judgment, flexibility, creativity and sensitivity.
- Monitor programs effectiveness.
- Forecast program needs and deadlines.
- Successfully execute and assess many complex tasks simultaneously, working as a team member, as well as independently.
- Communicate clearly and concisely, both orally and in writing, in English.
- Demonstrate empathy.
- Pass a background check and drug screening.
Education, Training and Experience:
- High School Diploma or GED; and
- A minimum of three (3) years of increasingly responsible experience in administrative coordination support or program coordination in a public agency; OR
- A combination of education, training, and experience that provides the ability to perform the essential duties of the job.
Licenses and Certificates:
All Licenses and Certifications required must be maintained throughout employment.
- CPR & First Aid Certification.
- Valid Arizona Driver’s license at the time of appointment.
SPECIAL REQUIREMENTS:
Residency in the United States and within 25 miles of the City of San Luis.
Valid Fingerprint Clearance Card - Level I.
Serv Safe Food Handlers Card.
DESIRED/PREFERRED:
- Bilingual in Spanish.
- San Luis residency.
- Experience in a Supervisory or Lead capacity.
