JOB SUMMARY: Under direct supervision, provides essential clerical support to municipal court personnel, including typing, answering the telephone, and maintaining court records.
ESSENTIAL JOB FUNCTIONS:
- Operates various types of standard office equipment, such as telephones, typewriters, copiers, computers, adding machines, facsimile machines, etc.; prepares documents and correspondence by typewriter and word processing system;
- Maintains records, including traffic violations and court actions, numerically and alphabetically; handles payment of fines and bonds and receipts monies accordingly; prepares bank deposits;
- Provides information to the public regarding tickets, court appearances, and other related information; prepares court dockets; assists with court proceedings; issues warrants; directs citizens to the appropriate destination;
- Communicates effectively, courteously, and clearly with other employees, the public, the judge, and the prosecutor by telephone, in person, or in writing; handles incoming phone calls; processes, sorts, and distributes incoming and outgoing mail;
- Attends training schools and seminars and other city-related events which may require travel, occasionally overnight;
- Performs other assigned duties as required;
- Concentrates on assigned tasks through many distractions; exhibits confidentiality; and can move about the office and building.
OTHER JOB FUNCTIONS:
Carries, drags, lifts, pulls, and pushes supplies, computer paper, cartons of computer ribbon, etc. weighing up to 30 pounds; loads printer, copier, fax machine, etc. with paper; replaces typewriter and computer ribbons; stoops, squats, kneels, climbs and stretches to reach areas of the work site for retrieval of supplies and records, routine cleaning, and inspection; and some exposure to dust, odor, electrical, and mechanical hazards, using proper safety precautions.
REQUIRED EDUCATION, DEGREES, CERTIFICATES, AND LICENSES:
High school graduate or equivalent; certification as assistant court clerk (or ability to become certified within twelve months of employment); and ability to obtain appointment as notary public.
EXPERIENCE, TRAINING, KNOWLEDGE, AND SKILLS:
Ability to understand manuals to record work activities, keep records, and work with computers; skilled in the operation and maintenance of several office machines and equipment such as computers, typewriters, copiers, telephones, and facsimile machines; skilled in filing, typing, and word processing; skill and experience preferred in the operation of computerized systems to enter and retrieve police-related information; knowledge of English language, including proper usage, grammar, spelling, and punctuation; ability to perform a variety of tasks, often changing quickly from one task to another without loss of efficiency and composure; ability to exhibit confidentiality; and ability to work without constant supervision.
