DISTINGUISHING FEATURES OF THE CLASS:
This position involves responsibility for performing complex information processing activities often involving the utilization of software packages. These software packages are either operator designed or vendor supplied programs to make the system perform unique functions. This position differs from that of Information Processing Specialist II in that the activities performed are more complex and the incumbent is responsible for managing an office or for assuming responsibility for supervising a major operation of the office. The incumbent is responsible for learning new software packages and training office staff in their use. Additionally, when not engaged in equipment operation, an incumbent performs a variety of clerical duties. General supervision is received from a higher level employee. Direct supervision may be exercised over a variety of clerical employees. Does related work as required.
TYPICAL WORK ACTIVITIES:
· Assists department heads in establishing work goals and priorities;
· Prepares narrative and statistical reports summarizing information processing activities;
· Assists department head in preparing specifications for additional or replacement equipment;
· Keeps department head abreast of changes made to improve routine office procedures;
· Determines office supplies to be purchased and prepares and transmits purchase requests;
· Conducts on-the-job training for both superiors and subordinates in such areas as equipment operation and operating procedures;
· Assists department head in selecting employees for participation in centrally conducted training courses;
· Reviews office procedures with new employees;
· Conducts staff meetings in order to brief employees on new office procedures or existing ones which need clarification or emphasis;
· Assigns work to subordinates, based on priorities, and schedules the work flow;
· Places service calls and maintains records of service calls;
· Designs parameters for selective information storage on information processing equipment to produce specialized outputs of this information in response to users' needs i.e. records processing;
· Designs methods of assembling pre-recorded pieces of information (usually each having a number of variables to be inserted into complete documents i.e. document assembly;
· Chooses document formats and designs document layouts to be used for entering information which will be printed on pre-printed forms;
· May perform functions involved in tele-communicating between information processing machines to establish a communications linkage;
· Types complex charts, statistical reports and/or performs mathematic computations using information processing equipment;
· Discusses assigned information processing projects with users to clarify specific needs and problems;
· Performs a variety of related duties as required.
FULL PERFORMANCE KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS: Thorough knowledge of the use and operation of information processing equipment and related peripheral equipment; thorough knowledge of office management, terminology and procedures; good knowledge of proper grammatical usage and punctuation; good knowledge of business vocabulary; ability to plan and supervise the work of others; ability to design complex formats and layouts for work assignments; ability to understand and follow complex oral and written directions.
MINIMUM QUALIFICATIONS:
(A) Graduation from a regionally accredited or New York State college with an Associate’s degree and one year of experience in the operation of information processing equipment;
(B) Graduation from high school or possession of a high school equivalency diploma and three years of experience in the operation of information processing equipment; OR
(C) An equivalent combination of training and experience as defined by the limits of (A) and (B) above.
