Summary:
The City of Spanish Fort is accepting applications for the position of Accounting Clerk. Under the guidance of the City Clerk, the Accounting Clerk performs administrative and financial duties. Duties will include prompt and accurate data entry of all invoices into the accounting software; matching and reviewing purchase orders and delivery tickets to corresponding invoices and entering into appropriate general ledger categories; investigating and resolving invoice discrepancies, vendor inquires, and other issues related to accounts payable; maintaining accounts payable to adhere to all periodic accounting deadlines; disbursing all accounts payable checks and following related functions to ensure accurate and timely delivery of all payments; meeting weekly deadlines for check runs to ensure that all AP documents due for payment are distributed by the due date; assisting with audits of all business functions to ensure that established internal controls are followed to maintain compliance with Company’s policies and procedure; uploading payments into the City’s banking system; ordering supplies for various City departments; assisting the City Clerk with the City contracting process; maintaining fleet records for the City; manages monthly payments and autopay withdrawals; attends budget meetings and assists with the budgeting process; assisting the City Clerk with required financial reports and grant management; maintaining vendor records, including W-9’s and insurance records; and other duties as assigned.
Minimum Qualifications: Must possess and maintain a valid Alabama driver’s license and be insurable by the City’s Insurance Provider. Experience in bookkeeping/accounts payable is highly preferred. Candidates must possess a high school diploma or equivalent. Willing to work overtime and flexible hours at times.
Good knowledge of office procedures, practices, systems and equipment; good knowledge of business English, spelling and arithmetic; good knowledge of municipal organization, statutes and ordinances or ability to readily acquire such knowledge; good knowledge of clerical accounting practices; good knowledge of the operation of modern office equipment, including computers; ability to accurately type and perform data entry at a reasonable rate of speed from copy, rough draft, and various sources and forms; ability to write legibly; ability to make visual and arithmetic determinations and computations rapidly and accurately; ability to deal with the public courteously and tactfully; ability to convey concise and accurate explanations of policies and procedures; ability to make minor decisions in accordance with laws and regulations and apply them to work problems; ability to plan and direct the work of others; ability to establish and maintain effective working relationships with public officials, employees and the general public.
Rate of Pay: Salary to be determined by qualifications and experience. Minimum starting salary is $22.65 per hour, depending on experience. The City of Spanish Fort offers excellent benefits to full time employees working a minimum of 40 hours per week including: health and dental insurance for the individuals and assistance with family coverage, state retirement, sick and vacation leave, paid holidays, and personal days.
