Job Overview
The Assistant Facility Supervisor is responsible for supporting the day-to-day operations of the Civic Center. This role involves coordinating events, marketing efforts, providing administrative assistance, and ensuring that clients receive high-quality service throughout their interactions with the facility.
Essential Duties and Responsibilities
NOTE : Employee may be required to respond to a disaster, either natural or man-made, to serve the citizens of Statesville. Service to the citizens during a disaster may result in the assignment of other duties, which will take precedence over duties described in this job description. - Assist in coordinating, scheduling, and managing Civic Center events to ensure smooth operations and high client satisfaction.
- Conduct interviews with candidates for open positions, assess qualifications and fit, and make hiring recommendations.
- Coordinates with clients on event details, including setup requirements, security needs, and food service arrangements.
- Assist in marketing the Civic Center on a variety of platforms to increase visibility and attract events.
- Coordinates internal programming and activities at the Civic Center.
- Prepare rental agreements, invoices, and other critical documentation for facility use.
- Monitor financial accounts for bookings and collect payments efficiently.
- Post updates of daily and weekly event schedules in the office, on the facility marquee, hallway monitors, and various room signage.
- Support office management tasks such as daily cash deposits, payroll activities, and budget monitoring.
- Assist in generating reports that include facility usage statistics, maintenance activities, and summaries of events held.
- Collaborate with maintenance and operations teams to ensure accurate and timely room setups for all events.
- Manage in-house food service requirements, including supply purchasing and coordinating bids.
- Support inventory management for event supplies and office equipment to maintain adequate stock.
- Performs other duties as assigned.
