Job Overview

The Assistant Facility Supervisor is responsible for supporting the day-to-day operations of the Civic Center. This role involves coordinating events, marketing efforts, providing administrative assistance, and ensuring that clients receive high-quality service throughout their interactions with the facility.

Essential Duties and Responsibilities

NOTE : Employee may be required to respond to a disaster, either natural or man-made, to serve the citizens of Statesville. Service to the citizens during a disaster may result in the assignment of other duties, which will take precedence over duties described in this job description. This job description is not intended to be all-inclusive. Employees may perform other related duties as needed to meet the needs of the organization.

  • Assist in coordinating, scheduling, and managing Civic Center events to ensure smooth operations and high client satisfaction.
  • Conduct interviews with candidates for open positions, assess qualifications and fit, and make hiring recommendations.
  • Coordinates with clients on event details, including setup requirements, security needs, and food service arrangements.
  • Assist in marketing the Civic Center on a variety of platforms to increase visibility and attract events.
  • Coordinates internal programming and activities at the Civic Center.
  • Prepare rental agreements, invoices, and other critical documentation for facility use.
  • Monitor financial accounts for bookings and collect payments efficiently.
  • Post updates of daily and weekly event schedules in the office, on the facility marquee, hallway monitors, and various room signage.
  • Support office management tasks such as daily cash deposits, payroll activities, and budget monitoring.
  • Assist in generating reports that include facility usage statistics, maintenance activities, and summaries of events held.
  • Collaborate with maintenance and operations teams to ensure accurate and timely room setups for all events.
  • Manage in-house food service requirements, including supply purchasing and coordinating bids.
  • Support inventory management for event supplies and office equipment to maintain adequate stock.
  • Performs other duties as assigned.

Minimum Requirements

Education and / or Experience

  • High School diploma or GED.
  • One (1) year of experience in event coordination, facility management, or related field.
  • One (1) year of supervisory experience.
  • Other Requirements

  • Possession of a valid N.C. driver's license or valid license with ability to obtain a N.C. driver's license within 60 days of establishing a permanent residence in North Carolina.
  • Supplemental Information

    Knowledge, Skills and Abilities

  • Knowledge of event scheduling and coordination, including logistics, security, and food service management.
  • Knowledge of facilities management operations, including room setups and maintenance coordination.
  • Basic accounting and financial skills, with the ability to track payments, monitor budgets, and assist in payroll processes.
  • Familiarity with marketing principles and strategies to effectively promote the Civic Center.
  • Strong written and verbal communication skills to interact effectively with clients, vendors, team members, and prospective employees.
  • Ability to plan, prioritize, and manage multiple tasks and responsibilities in a fast-paced environment.
  • Strong client engagement skills to ensure client needs are met and expectations are exceeded.
  • Attention to detail and accuracy in managing documentation, scheduling events, and executing financial transactions.
  • Proficient in office software (e.g., Microsoft Office Suite) and experience with event scheduling and management platforms.
  • Capacity to work collaboratively with maintenance, operations, and other internal teams to ensure successful event execution.
  • Job Related Physical Activity Requirements

    This position involves light work requiring the exertion of 20 pounds of force occasionally, up to 10 pounds of force frequently, and a negligible amount of force constantly to move objects. Physical activity related to this position may require the use of fingers and hands, climbing, balancing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, and repetitive motions; vocal communication is required to express thoughts and exchange information; hearing is required to respond to spoken words, to receive and understand information, and / or to make fine distinctions in sound; visual acuity is required for preparing and analyzing written or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities.
