NATURE OF WORK
This classification performs typing and clerical work for the assigned department of the City. An employee in this position types various documents; sorts and files information; assists the public; provides information and explains rules; performs reception duties; receives and processes payments; and assists in receipt/distribution of mail. This position also computes and assembles data, checks others’ work, and performs others assigned clerical tasks.
ESSENTIAL JOB FUNCTIONS
- Types articles, letters, memorandums, reports, statements, tabulation, and other materials from copy, rough draft, or dictating machine; operates copy machines.
- Sorts and files correspondence, reports, vouchers, or other materials numerically, alphabetically, or by other established classification.
- Meets the public; files non-technical information; explains well defined rules; screens and refers office callers; opens, sorts, and distributes mail; and takes telephone messages.
- Performs special clerical tasks for the department such as processing registrations and payments; acting as a house manager for rentals; receiving and processing repair payments; filing permit applications; and making copies for customers.
- Assists at special events; performs assigned box office operations tasks; and assists in marketing tasks.
- Handles cash; creates daily cash receipt; and hands out paychecks.
- Completes and mails routine forms or form letters; posts data from forms or form letters on cards or other records based on well established procedures.
- Computes data from requisitions, listings, time reports, or other records; assembles data in appropriate form for use in completing required reports.
- Oversees assigned employees work.
- Makes simple arithmetic calculations.
- Performs related work as required.
EDUCATION
- Graduation from an accredited high school or possession of a GED equivalency diploma.
- Supplemental courses in business practices and typing desired.
- PROOF OF HIGHEST FORM OF COMPLETED EDUCATION MUST BE SUBMITTED AS AN ATTACHMENT WITH APPLICATION. (Applications without attached proof of education will not be processed for consideration.)
EXPERIENCE
- Reasonable work experience in office or related clerical work desired.
- Experience with Tyler Munis preferred
- Qualified candidates must successfully pass assessments in Microsoft Word, Excel and Keyboarding
Physical:
- Light to moderate physical effort required, which may involve some lifting, carrying, pushing and/or pulling of objects and materials up to twenty (20) pounds. The position requires the ability to walk, stand, and sit for prolonged periods.
- Work Environment:
- Work is performed in a standard office environment. Work hours are usually set day shift schedules but may vary as needed and may include evenings, weekends and holidays. Tasks are regularly performed with minimal exposure to adverse environmental.
- Sensory:
- The ability to perceive and differentiate visual cues or signals. Tasks require the ability to communicate orally and in writing. Requires ability to adapt to frequent changes in workload and to adjust priorities quickly as circumstances dictate while completing tasks within established periods. It also requires interaction with employees and officials from all City departments/divisions, vendors and the public.
KNOWLEDGE, SKILLS, AND ABILITIES
- Knowledge of business English, spelling, and arithmetic.
- Knowledge of office practices and procedures.
- Skill in typing from rough drafts, clear copy, or a dictating machine at a reasonable rate of speed.
- Skill in using Office and department software.
- Ability to learn assigned clerical tasks readily and to adhere to prescribed routines.
- Ability to make arithmetic computations and tabulations accurately and with reasonable speed.
- Ability to meet and deal courteously with the general public.
