NATURE OF WORK
This classification involves specialized work in planning, directing, coordinating and supervising a variety of special events for Leisure Services.
ASSIGNMENT: Special Events
ESSENTIAL JOB FUNCTIONS
- Determine needs with the assigned area of special events responsibility; plans for programs and makes the necessary facility arrangements to meet these needs
- Participates in departmental planning, research and implementation of surveys and studies regarding special event and facility needs; recommends procedures and policies which will facilitate effective special events and efficient facility management
- Plans, coordinates, supervises, conducts and evaluates community-wide special events.
- Completes and submits permits necessary for special events.
- Interacts with outside vendors and generates contracts for vendors, special entertainment, etc.
- Supervises the performance of contractors providing services and materials.
- Monitors program expenses and stays within assigned budget.
- Recommends modifications to events as appropriate.
- Composes correspondence, prepares staff reports, keeps records, and makes presentations as needed.
- Coordinates and schedules recreation staff in the development and implementation of community special events
- Assists in coordinating, schedules and maintaining related records and statistics for special events
- Coordinates programs in assigned area of responsibility to include: registrations, collection of fees, management of volunteers, scheduling activity times, distributing and collecting all necessary event equipment and supplies
- Performs a variety of miscellaneous duties such as answering phone, preparing correspondence, running errands, picking up supplies needed for events, leading recreation activities, making arrangements for rental and use of recreation facilities, reviewing incident/accident reports related to specific areas of responsibility, helping set up and break-down of special events, responding to and resolving complaints from participants/patrons
- Assists in the recruitment and selection of volunteers
- Coordinates and oversees the operation of various recreation equipment storage facilities and their inventory
- Assists with the implementation of a public relations program with the general public and special interest groups in cooperation with the department's public relations coordinator; provides information to department officials in preparing preliminary publicity for events and programs
- Serves as a member of various employee committees, as assigned
- Responds to public inquiries about special events
- Assists the Recreation Supervisor in the preparation of budget requests relative to program needs; assists with monitoring budget for assigned program area, prepares requisitions for purchase of services, equipment and supplies; maintains records and prepares event evaluations and other related reports
- Supervises, trains and evaluates seasonal employees and volunteers assigned to special events
- Supervises and oversees the performance of contractors providing services and materials
- Maintains, organizes, inventories, and delivers equipment, materials, and supplies to event sites, including periodic inspections to ensure quality condition and operation
- Organizes and coordinates special events; schedules recreation program staff and arranges for the scheduling of contractual staff and submits payments for related services
- Writes and submits special event information for Horizons magazine and City website; composes event calendar and flyers.
- Recreation Programmers may be required to work evenings, weekends, and holidays, to accommodate special events
- Performs related work as required
EDUCATION
- Graduation from an accredited college or university with a Bachelor's Degree in Park and Recreation Programming, Recreation Administration or a closely related field

EXPERIENCE AND TRAINING
AREA OF ASSIGNMENT: Special Events

- Reasonable fulltime professional experience in planning, organizing and conducting a variety of special events
- Supervisory experience preferred
- Certification as a Park and Recreation Professional is highly preferred
- Proficiency with Microsoft Office (Word and Excel) required
- RecTrac computer software preferred
NECESSARY SPECIAL QUALIFICATIONS
- Possession of a valid Florida driver's license with an acceptable driving record
PHYSICAL REQUIREMENTS:
Physical:
- Light to moderate physical effort required, which may involve some lifting, carrying, pushing and/or pulling of objects and materials up to thirty (30) pounds. The position requires the ability to walk, stand, and sit for prolonged periods of time. Incumbent must have the ability to effectively and safely operate City-issued motor vehicles.
Work Environment:
- Work is performed in various environments including standard office, recreational facilities, and outdoors. Work hours may vary as needed and may include evenings, weekends and holidays. Tasks are regularly performed with moderate exposure to adverse environmental conditions including inclement weather, severe temperatures and exposure to water. The position may require travel to various locations in the City of Sunrise area.
Sensory:
- The ability to perceive and differentiate visual cues or signals. Tasks require the ability to communicate orally and in writing. Requires ability to adapt to frequent changes in workload and to adjust priorities quickly as circumstances dictate while completing tasks within established time frames. It also requires interaction with employees and officials from all City departments/divisions, vendors and the general public.
KNOWLEDGE, SKILLS AND ABILITIES
- Knowledge of the principles, practices and techniques of public recreation
- Knowledge of recreation philosophy, planning and administration
- Knowledge of the equipment, facilities, operations and techniques used in a comprehensive community recreation program
- Knowledge of the principles and techniques of first aid and CPR
- Knowledge of safety precautions applicable to the area of assignment
- Understanding of supervisory principles and practices
- Ability to plan and supervise the activities of subordinate personnel in the absence of the Recreation Supervisor to achieve effective results
- Ability to establish and maintain effective working relationships with participants, other employees, supervisors, other agencies, instructors, community leaders and the general public
- Ability to express ideas thoroughly and concisely, orally and in writing
- Ability to supervise the activities of recreational personnel in a manner conducive to full performance and high morale
- Ability to develop, coordinate and direct varied activities involved in community special events
- Ability to plan and organize workload to achieve stated objectives in a timely, efficient, and effective manner
- Ability to withstand pressure of competing priorities and varied responsibilities and work efficiently and effectively to develop win-win solutions
