Under the direction of the Building Official, execute and administer the process of building permits, plan reviews, temporary certificates of occupancy (TCO), and certificates of occupancy (CO) as submitted or requested by applicants; Supervise, train and assign work to the Office Assistant II and Office Assistant III.
DUTIES
- Supervise, train and assign work to the Office Assistant II and Office Assistant III; review work and ensure daily tasks are accurate and completed.
- Review and disseminate residential plan review documents.
- Maintain open communication with the Residential and Commercial Plans Examiner.
- Communicate and resolve all matters with residential applicants.
- Set up meetings.
- Assist at the front counter and model excellent customer service skills, tact and professionalism when responding to inquiries including but not limited to residential and small permits, online applications, certificates of occupancy, Fire Alarm permits, Fire Suppression permits, MEP permits, and building permit processes & requirements. Receive, issue, and file all permits including roofs, sheds, fences, pools, generators and similar items.
- Receive, issue, and file all permits including roofs, sheds, fences, pools, generators and similar items.
- Enter and correlate data on BS&A, OnBase, excel control sheets, share drives and other systems, as required/requested by the Building Official.
- Coordinate with the Fire Department, Engineering, Assessing, Planning and other departments, for the building permit and inspections process.
- Answer Freedom of Information Act requests.
- Update all medicinal marijuana caregiver licenses; coordinate and communicate with the Clerk's office.
- Follow up with the Fire Department, Engineering, Assessing, Planning and other departments as requested for the final recommendation for certificates of occupancy and temporary certificates of occupancy for commercial & residential developments.
- Generate certificates of occupancy and temporary certificates of occupancy and obtain necessary signatures from the Building Official.
- Communicate and collaborate with all relevant individuals on all commercial projects.
- Perform other duties as assigned.
REQUIREMENTS
- High school graduate or GED equivalent.
- Three (3) years of full-time work experience providing clerical or administrative support.
- ICC Permit Technician Certification or obtain certification within first six (6) months of employment (City of Troy may cover costs to obtain).
- Effective verbal and written communication.
- Previous Supervisory experience.
- Proficient in Microsoft Office, specifically Outlook, Word and Excel and computer/software programs related to position (i.e. BS&A, OnBase).
- As a condition of employment, the successful candidate must pass a pre-employment physical and drug screen (including marijuana).
PREFERENCES
- Bachelor degree from an accredited four-year college or university.
- State Registration 54 and/or Builder's License.
- Certifications related to position (i.e. ICC Permit Technician Certification).
- One (1) year in a municipal or state building department environment.
- Five (5) years of full-time work experience providing clerical or administrative support.
HOURS Regularly Monday - Friday; 8:00AM - 4:30PM
