ESSENTIAL DUTIES AND RESPONSIBILITIES: Administrative Assistant
The Administrative Assistant utilizes a variety of computer applications to provide support to various City departments, all the while maintaining confidentiality of sensitive information. The Administrative Assistant has a wide range of duties; providing information and assistance both in person and over the phone, issuing permits and licenses, composing and preparing various documents, filing and records maintenance, maintaining schedules for use of City facilities, and providing assistance with Ridgelawn Cemetery purchasing. Below is a summary of duties:
- Answers phones and greets visitors, provide information and assistance.
- Provide administrative support to various City departments
- Maintain confidentiality on all sensitive information
- Issue burning permits, animal licenses, and provide information as needed
- Collect mail on a daily basis
- Compose, edit, and proofread a variety of documents
- Assist with filing and records maintenance
- Assist with scheduling rental of City facilities
- Perform notary services
- Plan, coordinate, and assist with special events and activities as directed
- Assist with Ridgelawn Cemetery functions

DESIRED MINIMUM QUALIFICATIONS
Education and Experience:
- High school diploma or equivalent
- Valid Minnesota Drivers license
- One year or more of related experience
Necessary Knowledge, Skills, and Abilities:
- Thorough knowledge of office practices and procedures
- Skill and proficiency in operating computers
- Proficient with Microsoft products including Word and Excel
- Working knowledge of Quicken
- Ability to operate various equipment, including copier, fax, adding machine
- Excellent verbal and written communication skills
- Ability to perform general clerical work requiring a high degree of accuracy
- Ability to deal confidently and effectively with members of the public
- Ability to research and analyze data, determine alternatives, and make recommendations
- Basic knowledge of City operations, policies, and ordinances
- Ability to work independently, with only general direction
- Ability to multi-task and prioritize deadlines
PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position requires a modest amount of physical effort involving many types of movement such as lifting, bending, and twisting. The employee will sit for several hours of the day, will use hands to operate office equipment, and may at times be required to stoop, kneel, squat, bend, and crouch. The employee will occasionally lift and/or move up to 25 pounds.
