What are the responsibilities and job description for the Administrative Technician position at City of Virginia Beach?
The City of Virginia Beach Department of Human Services is seeking a talented Administrative Technician to work in the Housing Resources Center as the Office Manager. The Administrative Technician will support the Housing Resources Administrator and provide direct supervision to three (3) Clerk positions and volunteer staff that will serve as ambassadors to the community they serve.
Duties:
- Compile statistical data, and/or narrative data into daily, weekly, and monthly reports; Produces documents of various levels of complexity; Create, modify and maintain organizational charts
- Examine, check, and verify reports and other documents for completeness, appropriateness, adequacy, and conformity to established requirements, and follow up on discrepancies
- Adept in using desktop applications such as MS Office Suite including Visio to produce spreadsheets, PowerPoint presentations, flow charts, data bases, dashboards and reports for departmental use
- Weekly handling and routing of key paperwork such as timesheets, leave slips, access and security forms among others, Make travel arrangements as needed
- Schedule, organize and coordinate internal and external meetings; Create weekly and monthly agenda for meetings, reserve and set up meeting rooms and equipment, develop and compile resource materials for meetings and prepare handouts as required, transcribe/take meeting notes and distribute to appropriate entities
- Prepare City full time employee (FTE) and contractual hiring packets
- Respond to internal and external inquiries by researching or preparing responses with technical substance, handle or route customer complaints and requests
- Schedule activities, establish priorities, and comply with deadlines using effective time management and organizational skills
- Responsible for troubleshooting computer and copier/printer support, initiate work orders and track for completion
- Oversight of the receptionist staff and their rotational duties such as mail distribution, inventory and distribution of supplies, and common area walkthroughs, ensure reception coverage during the core operating hours
- Maintain a Master log for Defensive Driving, Training, Shelter assignments, Performance Evaluations, Active Staff Directories and a current staff Phone Tree
- Ensure incident reports and briefs are completed and notify appropriate leadership of any high-risk matters
