What are the responsibilities and job description for the Deputy Clerk of Court - 32 hrs/wk position at City of West Fargo?
The Deputy Clerk of Court assists the Clerk of Court in managing the administrative functions of the Municipal Court including managing information systems, facilities, finance and related work. This position assists with developing office operational procedures to ensure orders of the Court are carried out and accurate court records are maintained. The Deputy Clerk of Court assumes additional responsibilities in the absence of the Clerk of Court.
- Coordinates the administrative functions for the Clerk of Court including case management and general operation of the clerk’s office.
- Assists with coordinating, organizing, and supervising daily functions and activities of court case management, processing, records management and court administration involving criminal and traffic cases from the initial filing of cases to final disposition.
- Implements policies, standards, and work procedures as established by the Clerk of Court and recommends changes as needed.
- Serves as a role model displaying professionalism and impartiality in court case matters and with staff.
- Attends court sessions and interprets judge’s orders either in or out of courtroom, recording all essential action taken.
- Coordinates any sentences imposed, explains the sentence or action taken by the court and the defendant’s responsibility in complying with the sentence.
- Reviews paperwork with defendants and provides them with documents as required.
- Records court action on documents in court files and computer following court appearance according to required deadlines.
- Responds to non-routine questions and complaints from residents, as well as defendant’s questions regarding status of their case, and communicates with the public over the phone, in person at the Clerk of Court counter as well as through the mail.
- Reviews defendant case files for completeness.
- Authorizes action to be taken on delinquent sentences (or accounts), including letters, show cause orders and warrants, and delegates preparation to clerical staff.
- Reviews and approves prepared warrants and orders to show cause.
- Maintains fiscal, legal, and statistical record and prepares necessary summaries and reports.
- Balances all accounts and ensures that correct accounting procedures were followed during the month and report discrepancy to the clerk of court.
- Reviews daily and monthly case management and accounting reports for accuracy.
- Maintains confidentiality.
- Works safely, follows safe work practices, and identifies and reports unsafe work conditions.
- Performs other duties as required or assigned.
MINIMUM QUALIFICATIONS
- Associate degree in court or judicial administration, business, or related field.
- Two years of relevant experience.
- Equivalent combination of education and experience is acceptable.
- Ability to create and maintain effective working relationships with peers, superiors, other City departments, vendors, contractors, external government agencies and organizations.
- Strong communication skills, both orally and in writing.
- Notary Public within six months of hire
PREFERRED QUALIFICATIONS
- Previous experience in court processes.
