Event and Contracts Assistant
Summary: The Event and Contracts Assistant will be responsible for all aspects of production management of Parks and Recreation sponsored workshops, festivals and events. Events being held on Parks and Recreation Department facilities but not sponsored by the Parks and Recreation Department shall be cleared and coordinated through the Parks and Recreation Director. The Event and Contracts Assistant reports to the Director of Parks and Recreation.
Essential Duties and Responsibilities: (include the following and other duties may be assigned)
- Must coordinate with the appropriate departments including but not limited to operations for staffing and other maintenance needs at event venues as well as the marketing department for citywide events.
- Maintain a working knowledge of the complex needs of a wide variety of events for a diverse population.
- Develop policies and procedures for events including emergency action plans.
- Manage reservations of open space areas.
- Coordinate with special even coordinators to ensure the event is safe and compliant.
- Manage all event setup, breakdown and follow up procedures for events.
- Develop event information files for each event and update based on feedback from post-event meetings.
- Responsible for submitting a post event debrief to the Director of Parks and Recreation for special events and festivals.
- Must discuss and meet with the Director of Parks and Recreation on all events for final approval.
- Must be willing to work with other athletic and non-athletic programs as deemed necessary.
- Must be able to communicate effectively with co-workers, staff, other departments and the public.
- Must be available to work a flexible schedule which will include early mornings, days, evenings and weekends.
- Must be able to keep track of all contracts for special events.

Mental and Physical Abilities:
Must have initiative and the ability to work as a team but independent of direct supervision. Physical requirements include the ability to stand, walk and sit for periods of time during the workday, ability to bend, stoop and twist while performing maintenance duties, and the ability to move light (0-25 lbs) materials on occasion.
Working Conditions: Work involves standing and walking for most of the work shift, supervising sporting activities and sitting for brief periods of time when preparing paperwork.
Qualifications
Qualifications: High school diploma or GED equivalency and two (2) years of experience. An equivalent combination of experience and education which indicates possession of knowledge, skills and other characteristics may be substituted for the above qualifications. A degree in physical education or a related field is preferred.
Special Conditions: This position requires you to work evening and weekend hours when participation is greatest and activities are being provided.
FLSA Status: non-exempt
Starting Hourly Wage: $17.00
