Summary of Position:
Responsible for leading, mentoring, training and managing the Lease Records team. Oversees the timely and accurate set up and maintenance of lease and contract records in system, ensuring all information related to the lease is accurate and up to date. This includes gross and net acres, producing acres, HBP acres, as well as expirations, for Company financial reporting and forecasting and SOX compliance. Proficient in collaborating and communicating with other departments on projects, resolving issues, research and other matters related to Lease functions. Possesses advanced knowledge of Lease concepts, processes, and procedures with competent judgment and excellent communication and organizational skills.
Primary Job Responsibilities:
- Advises, manages, mentors and leads Lease/Contracts team by directing work, assisting in establishing priorities and ensuring completion of the team’s collective and individual responsibilities and goals.
- Ensures the accuracy of lease and contract set ups and maintenance in the system, including scanning/filing of documentation to electronic and physical files.
- Reviews for accuracy the monthly rental and obligation calendars, expiration reports, confirms accuracy of shut in analysis and approves the calendars for timely and accurate payment of rentals, shut-ins, Minimum Royalty and all other payments necessary to perpetuate leases.
- Oversees and ensures the accurate filing of all escheatment reports and coordinates the escheatment of funds to the appropriate states based on their rules and regulations.
- Monitors the accuracy of leasehold joint interest billings and approves updates to the ownership decks based on title that is changed due to death, transfer or necessitated by updated title information.
- Works with the Land Department and the Division Order Analysts as title issues arise and verifies accuracy of outside brokers’ work to ensure proper documentation to validate title.
- Reviews all records systems quarterly to gather, review, analyze and report data for quarterly and annual reporting purposes.
- Works with Analysts to review system record updates for errors and omissions and audits files for accuracy
- Manages and mentors the Supervisors, all levels of Lease Analysts, and Lease Techs.
- Responsible for oversight to resolve administrative discrepancies with WI partners and mineral interest owners and communicates findings with outside parties.
- Communicates and coordinates with AP Accounting team on issues related to Land payments to owners.
- Provides quarterly lease inactivation report to the Tax Team for tax provision purposes.
- Promotes and maintains respectful and timely communication with lease/contract interest owners as it applies to their lease records data capture.
- Performs confidential due diligence for potential acquisitions/divestitures, including, but not limited to, the confirmation of company net acreage for all acquired/divested wells and noting any discrepancies to the Director of Land Administration and/or the VP of Land.
- Assures all work performed adheres to Civitas standards.
- Maintains a positive and professional office atmosphere for all Lease and Contract Records team members.
- Follows safe operating practices and ensures compliance with Civitas Environment, Safety & Regulatory requirements.
- Performs all other duties, as assigned, including review of processes and procedures, due diligence, and/or other confidential matters.

Education & Experience:
- Bachelor's degree in a related field (e.g., Energy Management, Business, or Finance) preferred or equivalent years of experience required.
- Minimum 10 years of experience working in the oil and gas industry with specific experience in lease and contract analysis or land management.
- Minimum of 2 years of people management experience required.
- Strong knowledge of oil and gas lease and contract terms required.
- Familiarity with industry software and databases.
- Knowledge of relevant state and federal laws and regulations required.
- Proficiency in using basic Microsoft Office software (e.g., Word, Outlook, Excel and Teams) required.
Travel & Additional Requirements:
- Work is performed at a CIVI location Tues-Thurs with an option to work remotely on Mondays and Fridays.
- Schedule: traditional 40-hour workweek or alternative schedule of 9 hour works days M-Thurs and 4-hour workdays Friday.
- Travel required to the Civitas field locations.
