Clackamas Community College (CCC) seeks to hire a Financial Aid Coordinator [Full-Time] position. This is a full-time, union, classified, non-exempt, and benefits-eligible position. To learn more about CCC visit Leadership, Vision and Initiatives.Purpose of PositionCoordinate the day-to-day operations of assigned program areas in the Office of Financial Aid & Scholarships. Lead, coordinate, train, and monitor the work of assigned staff members. Provides financial aid counseling to students, parents, and the campus community regarding all aspects of the financial aid process. Supports team meetings and trainings, and assists in managing daily office workflow within the department ensuring that the requirements of the various federal, state, program, and institutional regulations in place are met. Will professionally and in a customer service-oriented manner develop and conduct dynamic financial aid/scholarship training and information workshops, continuously incorporating changing regulations and procedures. Essential Job FunctionsCoordinating/Monitoring (55%)At the direction of the Director will coordinate staff schedules including office coverage, front counter and Financial Aid Resource Lab; assign and monitor workloads, job duties, and special projects of staff in the Office of Financial Aid & Scholarships. Assist with coordinating the daily operations of the office, including intake and triage of documents submitted electronically, general processing, and other services related to financial aid. Provide and/or coordinate ongoing training to current and new staff related to financial aid and serve as a first point of contact for staff questions related to rules, regulations, and policy decisions.Assists with reviewing aid eligibility, verification, and file review during peak processing times or incidents of processing back-logs.Administers and monitors all state aid programs including awarding, revisions and reporting.Performs return of Title IV funds (R2T4) processing and student notifications.Serves as the departmental liaison for institutional grants and other funding sources. Serves on committees and attends meetings related to student resources outside of federal and state sources (e.g. STEP, ICAP, and Future Ready Grants). Assists in developing processes and program rules applicable to outside funding sources to support the process flow within the department, and to ensure that the requirements of the various federal, state, program, and institutional regulations in place are met. Assists with and coordinates outside funding resource awards and reporting. Develops and maintain office process and procedure documentation.Collaboration (20%)Collaborate with the Director of Financial Aid & Scholarships and team members to review, analyze, and implement financial aid processes, practices, and procedures to assess the impact of financial aid processes with/on other departments. Analyze system-wide impacts and work with stakeholders to develop mutually beneficial processes.Assists in the assessment, development, and implementation of department policies and procedures. E.g. annual assessment and unit planning.Assists in developing various program rules to support the process flow within the department, and to ensure that the requirements of the various federal, state, and institutional regulations in place are met.Works with individuals that may be frustrated or dissatisfied in a productive and respectful manner with the goal of de-escalating issues and resolving identified concerns.Advising Students/Presentations (15%)Accurately disseminates detailed information in small and large groups through excellent written and verbal communication.Meets with students and actively follows-up to student and staff questions to conduct student needs analysis, make professional judgment decisions regarding student aid eligibility, and facilitate problem-solving with students and parents.Inform and advise students, staff, faculty advisors, and community members regarding the financial aid application, aid programs, and processes for federal, state and institutional funding. Counsels students regarding application process, aid programs and student rights and responsibilities in compliance with all applicable guidelines.Provides front-line customer service, responds to emails and answers phones.Prepares and disseminates financial aid information for the general public and local high schools.Provides group presentations and workshops on campus and within the community including debt counseling sessions, financial literacy, high school college nights, at-risk youth programs, and financial aid application information sessions. Acts as a community resource for dissemination of financial aid/scholarship information.Performs data entry and student record maintenance. Reviews and processes student documents and assists students with the completion of the review process. Responds to written requests for financial aid information, special processing and other departmental requests.Training (5%)Participates in national, state-wide and regional professional organization conferences and trainings to keep abreast of new information and program changes.Implements mandatory or recommended policy or process changes in conjunction with the Director.Maintains proficiency by attending trainings and meetings, reading materials and meeting with others in area of responsibility.General Duties (5%)Utilizes appropriate technology tools to accomplish job functions; understands and uses available technology as communication, problem-solving and data gathering tools. Proactively adopts beneficial changes and new technology.Attends unit, division and college-wide meetings as a regular part of the role. Actively works well with others, resolves conflict professionally, and performs other duties as assigned. General Job FunctionsEstablish and maintain effective working relationships with students, staff, other agencies, and the general public.Perform other duties as assigned within the scope of the classification. Participate in college committees when requested.Maintain proficiency by attending training and meetings, reading materials, and meeting with others in areas of responsibility, which may require travel.Maintain work areas in a clean and orderly manner.Maintain student confidentiality, data integrity, and comply with all related college, state, and federal standards, including the Family Educational Rights and Privacy Act (FERPA).

EXAMPLE OF DUTIES
Required QualificationsBachelor’s degree in business, accounting, education, student services, or related field AND three years’ experience in financial aid including one year coordinating services OR any equivalent combination of education and experience which provide the knowledge, skills, and abilities required to perform the duties as described. Demonstrated experience in student financial aid directly related to financial aid counseling, eligibility determination, needs analysis, verification, and packaging required. Experience with online student databases required (E.g. COD, NSLDS, CPS Online, FAMS). Experience creating and/or delivering presentations. Ability to exemplify traits that reflect the College’s culture, including integrity, a customer service orientation, cultural competency, trustworthiness, flexibility and a willingness to change.Any equivalent combination of education and experience which provide the knowledge, skills, and abilities required to perform the duties as described. Preferred QualificationsMaster’s degree in Business, Accounting, Education, Student Affairs, or related field. NASFAA credentials.Bilingual in Spanish.
