Job Description – Legal Assistant – 5 years’ Experience
CRMS, a third-party administrator (TPA) located in Miami, Florida, is seeking a highly skilled, proactive and experienced Legal Assistant to join our team to provide legal administrative support to Senior Claims Representatives and ensure the smooth operation of our client’s active claim files. The ideal candidate will have a strong understanding of legal processes, exceptional organizational skills, and the ability to manage and multi-task in a fast-paced environment.
Key Responsibilities:
• Answer incoming calls and take messages accordingly.
• Prepare, proofread, and format documents and correspondence.
• Upload and save all correspondence, discovery responses and medical records into the company’s claims management software.
• Upload and save all documents into Legal Tracker, if applicable.
• Research and gather information from various sources relevant to the case matter to include expert witness certificates.
• Manage case files, ensuring all documents are organized, filed, and up to date in the case management software.
• Create Dropbox folder links for large files to be submitted to end users.
• Calendar pre-suit deadlines to ensure compliance.
• Create and maintain mail logs for the Claims Representative/Adjuster.
• Prepare and mail regular and certified mail correspondence via USPS.
• Prepare and submit daily billing sheet.
• Schedule appointments with court reporters, retain expert witnesses and interpreters when applicable.
• Prepare check request (retainer or other) for internal processing.
• Prepare calendar invites to conference calls via Zoom or Teams, mediations and unsworn statements, and maintain claims representatives/adjuster calendars updated.
• Confirm all calendar events the day before with all parties including court reporter, counsel and interpreter, if applicable.
• Communicate professionally and effectively with clients and counsel both verbally and in writing.
• Assist with the preparation and organization of case material when needed.
• File documents electronically, if applicable.
• Review, prepare, and submit all expert and vendor invoices for internal management approval and payment by client.
• Provide coverage for other support staff members when out of the office.
• Maintain confidentiality and ensure compliance with all legal and ethical standards.
Qualifications and Skills:
• Proven experience as a Legal Assistant (5 years preferred). Malpractice claims experience is a plus.
• Strong knowledge of legal terminology, procedures, and documentation.
• Proficiency in legal research tools and software, such as Legal Tracker.
• Excellent written and verbal communication skills.
• Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Exceptional organizational and multitasking abilities.
• High attention to detail and accuracy.
• Ability to work independently and as part of a team.
Education:
• Associate’s degree or higher in Legal Studies or a related field. Paralegal certification is a plus.
