Clapping Hands Farm is seeking an Events Coordinator who enjoys community celebrations and keeping all the moving parts for a variety of events smoothly organized.
Clapping Hands Farm, founded in 2000, runs summer camps and year round programs in an off-the-grid, outdoor setting. Programs are led by working artists, performers and naturalists and serve children 2-18, families and adults. Behind the scenes, our staff includes the camp founder-director, an established operations manager, a steering committee, a program planning team, volunteers, and interns. The events coordinator will work behind the scenes and with an enthusiastic community of current camp families, program staff, and alumni.
Position Description:
Our Events Coordinator will represent Clapping Hands Farm at a variety of events both at camp and in the wider community. Key aspects of the work include creating comprehensive event plans; doing administrative and reporting tasks; physically setting up and cleaning up; creating writing, video, and graphics to support events and outreach; and coordinating volunteers.
Community events we have attended in the past include: Clyde Fest, Juneteenth, Pittsboro Pride, Hispanic Heritage Fiesta, St. Julia’s Parish Festival, Shakori Hills Festival.
Clapping Hands events we have hosted in previous years include: fundraising parties, fundraising concerts, Staff Fun Day, November “homecoming”, Donor Appreciation Day, Potlucks on the last day of each camp.
As our Events Coordinator, you will work independently, with volunteers, and with our staff team. The position will include both virtual and in-person work and will require weekend and evening hours. Compensation depends on experience; entry level is $15/hour. This position is funded at 4 hours a week, but hours will vary with some weeks running over 4 hours and others under.
Your responsibilities will include:
- connecting with volunteers; working smoothly with event organizers; inviting people we meet at events to join us at camp
- : maintaining spreadsheets documenting volunteer lists for each event; scheduling volunteers in shifts for each event; communicating with volunteers before during and after the event; building volunteer leadership for each event
- : coordinating with staff, volunteers and community event organizers; maintaining/creating task lists and instructions for each event; writing a post event debrief for each event; planning activities for events with camp director
- : writing website copy, community emails, and social media text in order to engage the camp community in volunteering for and attending events; working with our social media coordinator and other staff to promote events; designing and producing hand-outs, flyers and posters for events
- : training and orienting volunteers to engage with the public via conversation about camp and leading art activities; attending events yourself or ensuring a qualified camp leader is present; following event organizers instructions and expressing thanks for their leadership
- making sure all materials for events are gathered and transported; ensuring set up is attractive and maintained through the day; seeing the event through to wrap up and clean up
- maintaining t-shirt and art-for-sale inventory; handling sales and tracking money from sales; keeping inventory organized; involving camp community in producing t-shirts and art-for-sale; set up and break down for Art-for-Sale portion of the gatherings.
We are looking for a Events Coordinator who:
- can perform well in all four major aspects of this role: relationship building; organizational tasks and record keeping; representing CHF; hands-on work.
- has a good sense for when to make decisions or handle situations and when to bring decisions or concerns to the camp director.
- can work independently while providing regular updates to the camp director
- can accommodate event driven fluctuation in hours
- could see this part-time position fitting into their life as a whole
- believes in the mission and values of camp
- has experience participating in communities that actively prioritize and value racial and economic diversity, disability inclusion, and LGBTQ members.
- Is familiar with non-violent communication and is committed to open, honest, compassionate dialogue
- Has excellent time management sensibilities and skills; is reliable; can work independently/remotely and as part of a team
- Has excellent writing and verbal communication skills
- Has experience with Google docs, Google sheets, social media, digital graphic design, website updating
- Has work experience relevant to one or more aspects of this position
