QUALIFICATIONS :
Proficiency in Microsoft Office
Customer service background
Effective oral and written communication skills
Bilingual preferred
High School Diploma or GED
DESCRIPTION : The primary responsibility of the Administrative Assistant to the Vice President of Academic Affairs is to provide administrative, secretarial, and clerical support to the Vice President of Academic Affairs.
Provide administrative, secretarial, and clerical support to the Vice President of Academic Affairs. In addition, clerical support to other employees as needed and approved. Secretarial and clerical duties include, but are not limited to :
College switchboard operator.
Answering the telephone in a friendly and courteous manner.
Providing information and assistance to current and prospective students.
Filing
Photocopying
Word processing / typing and preparing various letters, documents, and reports.
Maintaining adjunct and full-time faculty records.
Collect, track, and upload syllabi to the college website each semester.
Assist in processing transcript requests.
Assist in the coordination and conduct of public relations events and other special events (In-Service, Commencement, etc.).
Sort and distribute incoming mail and prepare outgoing mail for delivery daily.
Oversight of Xerox copy machines, ordering and installing copy machine supplies.
Monitor and refill the postage machine for daily usage.
Monitor and order supplies for administrative break room and office supplies.
End-of-day closing procedures for administrative offices and Instructional building.
Communicate an accurate image of the college as a means of informing others of opportunities at the college.
Use the funds of the institution allocated to the budget of the department or special projects effectively and efficiently.
Work on standing and ad hoc committees of the College, as assigned.
Support College activities and special events through attendance and / or participation.
Comply with all college policies, rules, and regulations.
Perform all other duties as assigned by the Vice President of Academic Affairs and / or the President.
