Seeking a high performing, experienced, Accounts Payable (AP) Associate to support a thriving event company with offices throughout North America. This role is responsible for Clarion Events Inc and the North America subsidiaries daily invoice processing utilizing Workday and Ascend. Under general supervision, the AP Associate takes ownership of the invoice, expense and approval workflow process and is accountable for driving process improvements. The AP Associate provides support to both internal and external customers for all AP inquiries in a manner that is professional and timely.The ideal candidate will enjoy working closely with people, research, solving problems, and successfully meeting deadlines. This role requires strong written and verbal communication skills with ability to exercise good judgment and work in a global environment.
Duties and Responsibilities:
- Ensure supplier invoices and employee expense reports are paid in a timely and accurate manner while adhering to department policies and procedures
- Identify problematic invoices, research, and act to both resolve and eliminate future occurrences of the issues
- Maintain the AP inbox by responding timely and completely to AP requests
- Complete master supplier account setup and ongoing maintenance, including collection of W-9 forms
- Settle master company credit card charges, ensuring appropriate support is attached
- Reconcile supplier statements to Workday open balances, work with supplier on identified discrepancies to maintain good standing
- Assist with monthly and yearly closing procedures, including annual audit AP support
- Participate in annual 1099 filing preparations
- Establish and maintain sound working relationships with suppliers and employees
- Sort, distribute, and scan mail once a week
- Support training of new employees on creating expense reports, purchase orders, receipting, and invoice submission
What you bring to the table:
- 3 Years Accounts Payable experience required, associate degree in accounting or some college preferred
- Deadline oriented with ability to multi-task and adjust priorities
- Strong organizational skills
- Team player with exceptional customer service and interpersonal skills
- Analytical skills with ability to research and solve problems efficiently
- Proficient use of Microsoft Office platforms (Outlook, Word, Excel)
