POSITION SUMMARY
Position is responsible for greeting incoming visitors and portraying a positive image of the organization through words, actions, appearance and tone of voice. Support coordination in area relating to intake, referral and patient management. Responsible for receiving incoming calls, providing information to callers and scheduling new and established patient appointments. Obtain appropriate information from guests and provide direction and/or assistance to appropriate department or person. Position is responsible for meeting with incoming patients and their parent/guardian, collecting, reviewing and ensuring completeness of patient/administrative information as it relates to demographic and financial information. Position also performs data entry of new patient data elements into the EMR, assists and relieves officials of clerical and minor administrative duties.

EDUCATION/TRAINING EXPERIENCE

HS diploma or equivalent
- Minimum one year reception or related experience and/or training; medical/clinical preferred
- Strong organizational and telephone skills required

THE ESSENTIAL DUTIES OF THE POSITION
- Receives telephone requests for appointments and processes them in accordance with established guidelines
- Greet new and established clients arriving for clinical appointments and coordinate with appropriate staff in a manner consistent with established guidelines
- Call clients to confirm upcoming appointments and enter all demographic and financial information obtained directly into EMR for follow-up with clients
- Accurately receives and records messages received during work hours and relays the messages to appropriate party in accordance with guidelines
- Receive and transfer incoming telephone calls to the proper person or department on an "as needed" or rollover basis
- Use an effective approach to handle special telephone tasks, i.e. call transfers, taking messages, call backs, holds, interruptions and unintentional disconnects
- Effectively deal with job stress, angry callers, upset customers and understand the impact of attitude in handling calls/interactions professionally
- Issue visitor passes to administrative building, as appropriate
- Performs all required administrative duties.
- Demonstrate knowledge of emergency procedures to be able to react to an emergency quickly and accurately
- Monitor alarm systems and weather alert radio and takes immediate action in the event of adverse conditions in accordance with established policy and procedure
- Provide and assist customers with accurate facility and service information
- Identify and escalate priority issues as they arise
- Demonstrates flexibility in shift schedule as work flow dictates
- Effectively utilize EMR and leverage all technology for completeness of data entry and patient management.
