We are seeking an Executive Assistant with a passion for organization and efficiency to support the Founder of a fast-growing company. This role is ideal for someone who thrives in a startup environment and is comfortable managing multiple priorities, coordinating projects, and offering both strategic and tactical support. In addition to core executive assistant duties, you will also assist with recruiting coordination to ensure a smooth and seamless interview process.

Location: Hudson Yards
Schedule: Monday - Friday, Fully onsite 10am -6pm.
$40/hr - $45/hr
Key Responsibilities:
Executive Assistance:
- Calendar Management: Manage the Founder’s complex calendar, ensuring all meetings are scheduled effectively, with ample time for preparation, travel, and rest.
- Time Management: Ensure the Founder stays on track and attends meetings on time by proactively managing any schedule changes or conflicts.
- Communication: Act as a gatekeeper for the Founder, managing emails, calls, and other communications to prioritize and direct requests as needed.
- Meeting Preparation: Prepare agendas, materials, and other documentation for meetings, and assist in follow-up tasks post-meeting.
- General Administrative Support: Handle day-to-day administrative tasks, including expense reports, document organization, filing, and handling personal requests when needed.
- Interview Scheduling: Coordinate and schedule interviews, ensuring the process runs smoothly for both candidates and interviewers.
- Onsite Support: Prepare the interview rooms, provide candidates with office tours, and ensure they have everything they need for a successful interview experience.
- Candidate Liaison: Act as the point of contact for candidates, communicating details about interview times, location, and any necessary preparations.
- Office Support: Assist with any logistics or coordination related to the recruiting process, ensuring candidates have a seamless experience from arrival to departure.
Requirements:
- Experience: 2-4 years of experience as an Executive Assistant, with a background in tech, venture capital, or a fast-paced startup environment.
- Tools: Proficiency with Notion; experience with Google Sheets and Airtable is a plus.
- Organizational Skills: Exceptional at managing complex calendars and coordinating multiple tasks with strong attention to detail.
- Recruiting Coordination: Prior experience in recruiting coordination or managing interview logistics is a plus but not required.
- Startup Mentality: Comfortable in a dynamic, fast-paced startup environment with a flexible, positive, and proactive attitude.
- Communication: Excellent written and verbal communication skills, with the ability to communicate effectively with senior leadership and external contacts.
- Personal Traits: Strong problem-solving abilities, able to anticipate needs, highly organized, and capable of handling both strategic and administrative tasks.
