We're looking for a highly organized and proactive office administrator to help us manage daily operations, scheduling appointments, and engaging with visitors. In this role, you'll serve as the backbone of our team, coordinating administrative activities, and creating an inviting, efficient workspace. Job Responsibilities and Tasks:
· Interacts with Veterans, surviving spouses, and dependents; provides guidance and documentation needed to file all state and federal forms regarding benefits.
· Assists Veterans and dependents in accessing all Social Services within the community and the region.
· Organize schedules, team meetings, and events, both in-office and out-of-office events.
· Manage office supplies and equipment, promoting operation efficiency.
· Assist office team members and visitors, creating a welcoming and supportive experience.
· Maintain filing of records, including invoices, contracts, and documentation.
· Develop and implement systems to improve administrative efficiency and communication.
· Monitor compliance with office policies and workplace safety standards to maintain strict confidentiality of all department records and information.
Skills and Qualifications
· Exceptional computer skills, proficient in Microsoft Word Suite and Adobe, willingness to learn unfamiliar database systems
· Able to use office equipment, i.e. copiers, scanners, phones.
· Exceptional organizational skills and the ability to manage multiple priorities effectively.
· Excellent verbal and written communication skills to foster collaboration in an environment.
· A proactive mindset with a strong focus on inclusivity and creating a positive team culture.
· Ability to adapt to changing priorities and different types of personalities while maintaining attention to detail.
PHYSICAL EFFORT AND WORK ENVIRONMENT
· Position holder performs duties in a standard office environment with no unusual physical demands. Incumbents may have some contact with clients with Chronic Adjustment Disorders and other disabilities.
Requirements
· High School Diploma or equivalent or College Education.
· Any additional training or certification.
· Administrative experience in an office setting preferred.
