Clason Point Partners Inc (CPP) seeks several Secretary IIIs to support a government/customer on a federal contract in Ventura County, California. The position is subject to contract award.
Essential Duties and Responsibilities
- Answering the main phone line and screen incoming calls appropriately; routes incoming requests to the appropriate individuals
- Schedule meetings with Outlook
- Manage conference room reservations
- Set up video teleconferencing equipment
- Assist in creating and updating Standard Operating Procedures (SOPs)
- Inventory and order office supplies as needed
- Assists with temporary parking permits
- Assists with visitor access
- Provide general administrative support
- Edit/proofread documents for grammar and formatting
- Put together read-ahead materials for high-level meetings
- Ensures that all manner of correspondence, projects, and packages are managed properly and completed in a timely manner while monitoring continuity and quality of actions
- Completing special projects as well as routine SharePoint requests (including, but not limited to, updating newsletters, ensuring URLs are linked to appropriate SharePoint sites, updating home page banners, creating SharePoint sites, and adding/deleting content in SharePoint)
- Placing credits in Learning Management System (LMS)
- Ensures that all manner of correspondence, projects, and packages are managed properly and completed in a timely manner while monitoring continuity and quality of actions
- Handle document receipt, transmittal, storage, and disposition of correspondence
- Review Government generated documentation for proper grammar, syntax, formatting and confirm the accuracy and currency of information contained within the documentation
- Critical thinking required in order to deliver executive level products in a time constrained environment
- Correspondence issuance and tracking, high-level tasker response tracking
- Have intimate working knowledge of correspondence tracking systems (preferably have knowledge with the OSD Correspondence and Tracking System)
- Assist with coordination of Component, Agency, and DoD-wide correspondence, as required
Skills & Knowledge
- Excellent communication skills: preparation of briefings, editing correspondence, briefing slides, and memorandums.
- Ability to multi-task in support of Executive(s).
- Ability to establish relationships and contacts and interact diplomatically with high-level internal and external personnel.
- Proficient with Microsoft Office Suite: Outlook, Word, Excel, Project, PowerPoint, and SharePoint
- Demonstrated ability to write and edit complex information clearly and concisely.
- Strong oral and written communication skills.
- Desired Education: Associate degree in any field.
- Desired Experience: Three (3) years providing principal secretarial support in an office environment at an enterprise level organization.
