Job description
The Project Admin plays a central and key role within the business. This position is responsible for complete administration of the projects and asset management process for the business.
Success in this position depends on superior organization and time management, as well as exceptional verbal and written communication skills. This position requires a skilled specialist who completes tasks and creative and effective ways. The ability to identify a problem, analyze information and develop conceptual solutions to complex challenges is essential. The project admin takes ownership of the work requiring attention and is capable of determining methods and procedures on new assignments.
Essential Responsibilities
- Enters the RFQ's and RFP's submitted by territory sales managers in monday.com/Ramses systems
- Acknowledges purchase orders
- Prepare and process lease and sale orders as a backup to Exec. Administrator
- Prepare billing and invoice for project close as a backup to Exec. Administrator
- Maintains project budgets in Ramses and ensures the purchase orders to subcontractor are issued timely (within 10-days of handoff).
- Ensure that all documents are cleared in system as soon as possible for project closure in system by end of month; monitor and ensure we have all invoices in and approved and purchase orders issued so that the project may be closed at the end of each month.
- Process purchase order requests
- Track and follow until completion what is outstanding from Schoolhouse on all projects and report to VP/GM, weekly
- Maintain and update project budgets to ensure accurate reporting
- Provide assistance to Branch Administrators (Schoolhouse & Class Leasing)
- Prepare and distribute reports as assigned. Keep monday.com/Ramses systems up-to-date daily.
- Monitor deadlines with award and acceptance dates, never let them lapse/expire and keep them up to date for the most accurate forecasting
- Communicate/collaborate with associates and a business regarding orders and projects
- Maintain current and accurate customer and trailer files with complete up-to-date information
- Maintain lead sources
- Act as a liaison between customers, sales, factory, and other departments within the organization to help ensure customer satisfaction
- Notary services for the business
- Expert at programs such as Word, Excel, PDF Filler, Monday.com, and Ramses
- Works with Sales daily on projects to move them to a win or lose status. This goes with the maintenance of the award dates and acceptance dates in monday.com/Ramses systems
- Set-ups the line items in monday.com/Ramses systems for lease and sales
- Ownership of the delivery and return schedule, active projects, submittals, asset assignments, change order process and tracking, building walk-throughs, and ramp sop
- Perform other duties as required
Skills
