What are the responsibilities and job description for the Executive Assistant position at Classic Collision?
The Executive Assistant plays a pivotal role in ensuring the executive teams’ time is maximized and the company’s operations run smoothly by providing comprehensive administrative support to senior executives.
Essential Duties and Responsibilities include the following: (Other duties may be assigned.)
- Communication: Serve as a primary point of contact between executives and internal/external stakeholders
- Manage and prioritize the executive's daily, weekly, and monthly schedules, including handling a high volume of emails, calls, and communications
- Prepare and manage correspondence, reports, and presentations
- Confidentiality: Handle sensitive information with discretion and maintain confidentiality
- Team Collaboration: Work closely with other administrative staff and team members to support company-wide initiatives and ensure seamless operations
- Event Coordination: Coordinate and plan high-profile events, meetings, or conferences, both
- Meeting Management: Work closely with executive leaders to schedule, coordinate, and facilitate meetings including but not limited to note taking, agenda building and owner/take-away follow up
- Travel Arrangements: Organize complex domestic and possible international travel itineraries, including booking flights, accommodations, and arranging for ground transportation
- Expense Management: Track and process expense reports, purchase requisitions, and executive budgets
- Board Meetings & Management: Assist in arranging and preparing for Board Meetings
- Some Travel may be required (0-25%)
Qualifications:
- Must be at least 18 years of age
- High School Diploma or GED
- Prefers Associate’s Degree or equivalent combination of education, experience, and training
- 5 years of experience as an Executive Assistant, with at least 2 years of experience supporting C-suite executives (CEO, CTO, CFO, etc.). Experience in a fast-growth, mid-size company preferred

- The ideal candidate will have a strong blend of organizational, strategic, and communication skills
- Communication: Excellent written and verbal communication skills, with a keen eye for detail
- Able to anticipate the needs of the executives and take initiative without being prompted
- Able to juggle multiple projects, deadlines, and priorities while maintaining a high level of attention to detail
- Capable of navigating challenges and bottlenecks without direction
- Technology: Proficiency in Microsoft Office Suite and ability to learn new tools quickly

Physical & Environmental:
While performing the duties of this job, the employee is regularly required to use their hands and is required to talk and hear. The employee is frequently required to stand, sit, and walk occasionally for long periods at a time. The employee may occasionally be required to reach with hands, and arms and move objects up to 20 pounds. Specific vision abilities required by this job include close vision, peripheral vision, and the ability to adjust focus. In addition, abilities for assessing the accuracy, neatness, and thoroughness of the work assigned are required.
