We are looking for a Receptionist to help manage our front desk at one of the CCMH Clinics to perform a variety of administrative and clerical tasks. As a Receptionist, you will be the first point of contact for our office. You will welcome guests and greet people who visit the clinic. As a Receptionist, you should have a pleasant personality, as this is also a customer service role. We are looking for someone who understands that multitasking and stress management skills are essential for this position. This position serves patients by greeting and helping them; scheduling appointments; maintaining records and accounts; handling co-pays and other payments. Familiar with operating personal computers and knowledge of general clerical duties. Able to work with others, helping fellow workers. Must be alert, accurate, performing detailed work with willingness to do routine tasks.
Responsibilities
- Greet and welcome guests as soon as they arrive at the office with positive and friendly attitude
- Direct visitors to the appropriate person and office
- Answer, screen and forward incoming phone calls
- Scheduling patient appointments
- Collects co-payments and other payments
- Take messages and document inquires for nursing staff and providers
- Maintains patient accounts by obtaining, recording and updating personal and financial information
- Ensures availability of treatment information by filing and retrieving patient records
- Adhere to HIPPA (Privacy/Confidentiality) guidelines and CCMH policies and regulations
- Ensure reception area is tidy and presentable, with all necessary stationery and materials (e.g. pens, clipboards and paperwork)
- Provide basic and accurate information in-person and via phone/correspondence
- Receive, sort and distribute daily mail/deliveries
- Update and maintain provider calendars and schedule meetings
- Perform other clerical receptionist duties such as documenting, filing, photocopying, scanning and faxing
- Performs other duties as deemed necessary by department manager
- Adheres to CCMH personnel policies
- Contributes to team effort by accomplishing related tasks as necessary for overall efficiency to ensure excellent care/services for our patients
Skills
- Work experience as a Receptionist, Front Office Representative or similar role
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Strong written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Great customer service attitude
- High school degree or equivalent
