JOB SUMMARY

The Training Specialist is responsible for maintaining the training library and facilitating the development of lesson plans and programs in accordance with agency policies and accreditation standards for employees. Incumbent will assist in conducting training and development programs and produce required periodic reports for employees.

Salary Range:  $34,402.02 - $39,876.28 
Paygrade:  P23

ESSENTIAL JOB FUNCTIONS:

  • Maintains library of all agency-approved training lesson plans and coordinates annual review and approval to ensure compliance with policy and accreditation standards.
  • Maintains training SharePoint page.
  • Assists with New Hire Orientation for employees.
  • Updates and maintains training records and ensures accuracy of all training records.
  • Tracks mandatory training attendance and reporting of employees who fail to comply.
  • Schedules members for training classes.
  • Assists instructors in preparation for training events, ensuring lesson plans, materials, and training aids are available.
  • Reviews post-training instructor and course reviews and provides a summary report for training.
  • Provides coordination of all training programs.
  • Generates, updates and submits training statistical reports.
  • Creates and distributes training bulletins for in-house and hosted training courses.
  • Answers and or directs assistance with phone calls to the training unit.
  • Provides customer service to Clay County Sheriff’s Office Employees.
  • Assists training staff assistants as needed.
  • Process applicable incoming and outgoing documents and/or files promptly consistent with supervisory direction and/or agency policies/procedures.
  • Participates in cross-training with other co-workers; assists those co-workers when the need arises and learns new tasks by working together as a team.
  • Reports identified or potential maintenance, safety, and/or non-compliance findings, hazards, and incidents to the appropriate personnel and/or department. 
  • Timely completes all assignments, special projects, and budgetary requirements (if applicable) as directed, adhering to applicable agency policies.
  • Adheres to leave and attendance policies, including punctual arrival and completing full shifts. Informs the supervisor about illness or untimely incidents, reports overtime hours worked, and timely submits timesheet, attendance, and leave requests.
  • Regularly checks assigned mailbox, phone calls, PowerDMS, and email messages, responding promptly and professionally. 
  • Makes assigned chain of command aware of anything noteworthy. 
  • Responds to supervision, guidance, direction, and feedback from executive staff and superiors in a receptive manner and in accordance with agency policies. 
  • Conducts themselves in a polite, helpful, courteous, ethical, and professional manner, abiding by the established code of ethics, and demonstrates a courteous and professional image when engaged in any activity with the public. 
  • Cultivates positive working relationships with colleagues and other agency units to enhance work area output and services in line with agency policies. 
  • Demonstrates an understanding, consideration, and respect of cultural, religious, and gender differences when interacting with the public and coworkers.  
  • Actively participate in job-specific training. 
  • Operates and performs minor repairs for office equipment to manufacturer’s specifications and/or within the specified parameters pursuant to agency policies. 
  • Performs other duties as assigned.

Minimum Education, Experience and Requirements:

  • High school diploma or its equivalent.
  • One (1) year of relevant experience required.
  • Proficient in Microsoft office products
  • Speak and understand the English language
  • Internal candidates must have successfully completed their probationary period
  • Internal candidates with punitive disciplinary action within 365 days are ineligible
  • Internal candidates must have completed applicable CCSO FTEP requirements. 
  • The following items (or authorized equivalents) may be required at various steps in the application process: 
    1. Driver's License
    2. Birth Certificate
    3. Social Security Card
    4. Form DD214 for all periods served in the military
    5. GED or High School Diploma and Sealed Transcripts from the highest level of education
    6. FDLE Authority for Release (notarized)

Knowledge, Skills and Abilities: 

  • Ability to deliver instructional materials/programs/courses in an organized, effective, and motivating manner.
  • Communicates verbal information, instructions, and commands clearly and intelligently.
  • Show self-initiative to contribute to departmental goals within policy boundaries.
  • Proficiently use office equipment, Microsoft applications, and specialized computer program software/systems required to perform position tasks, preferably including PowerDMS, DocuWare, and SharePoint. 
  • Skill in developing and revising organizational workflow utilizing established organizational development models, tools, and techniques to optimize output and achieve the identified goals and objectives.
  • Exercise judgment to identify and analyze problems and develop effective solutions.
  • Exhibit congenial and respectful behavior in working relationships.
  • Establish and maintain cooperative relationships with internal and external personnel.
  • Adhere to agency policies and demonstrate knowledge via oral or written testing if required, and daily performance.
  • Ability to perform their job, tasks, and duties to standard under stressful conditions.
  • Ability to speak before groups, articulate ideas, and effectively communicate the stated objectives in a well-planned, organized, and clear manner.
  • Ability to understand, interpret, and carry out directions in an efficient manner.
  • Ability to formulate rational plans, ideas, inferences, and judgments based on logic, fact, knowledge, and experience.

Supplemental Information: 

Salary is negotiable for full-time positions prior to initial hire, if requested, based on verified experience up to step five (5) of the assigned pay grade. Current employee salary changes are determined based on internal methodology. Please contact Human Resources with any questions.
