We are seeking an Office Manager to join our team at Clean Cut Painting LLC. This pivotal role will be based in our office and will involve overseeing daily operations, managing schedules, and ensuring smooth communication within the team. Your contributions will be essential in maintaining our high standards of service.
Responsibilities
- Office Administration
- Answer the Office Phone
Human Resources
- On Board new subcontractors
- Onboard new W-2 Painters
- Oversee the hiring of painters
- Post ads as directed
- Screen Painters
- Schedule candidate interviews with owner
- Payroll
- Modify and approve weekly timesheets
- Submit payroll
- Manage PTO
- Manage time off requests
Project Support
- Customer Communication
- Insure an excellent customer experience following the customer communication procedures
- Solve customer issues independently
- Insure customers receive daily update communication
- Project Administration
- Initiate Pre-job process
- Create job documents in Monday.com
- Send welcome e-mail to customer
- Insure all documents, deposit, and color schedule are received
- Communicate with the field as directed
- Resolve field issues independently
- Scheduling
- Support the operations department in creating daily schedule
- Monitor weather and have rain days projects in queue
Bookkeeping
- QBO
- Project Invoicing
- Ensure Hub Doc is current and accurate
- Pay bills
- Manage AR
- Reporting
- Input data into job profitability worksheet weekly upon completion
- Input Financial Monitoring Worksheet data Monthly
- Submit AP, AR, and cash flow projection to owner weekly
Hours:
8am-4:30 Monday through Friday
Compensation:
- $25/hr

- Participate in problem solving using technology including selection, trial, and onboarding of technology solutions.
- Marketing Support
- Manage marketing calendar
- Participate occasionally in industry events including trade shows and B2B events
- Participate in selection and ordering of promotional items
- Delivery of customer gifts as needed
- Review Requests
- Sales Support
- Perform follow up to increase close ratios
- Company Events
- Plan company events as directed
Job Type: Full-time
Pay: $24.44 - $25.85 per hour
Expected hours: 40 per week
