The Role of the Board Clerk/Executive Assistant
This is an exciting opportunity to join our team as a skilled administrative professional. The Board Clerk/Executive Assistant plays a pivotal role in supporting our governance functions, ensuring transparency, consistency, and professionalism in all interactions.
- Manage our monthly Board and bimonthly Community Advisory Committee meetings, ensuring smooth execution and timely completion.
- Provide administrative support to our CEO, including calendar management, travel arrangements, event planning, and other tasks as needed.
- Prepare agendas, agenda packets, and minutes, maintaining accurate records and meeting requirements.
- Coordinate logistics for meetings, presentations, and events, ensuring seamless execution and high-quality outcomes.
- Ensure compliance with public agency meeting procedures and communication requirements, such as the Brown Act and Public Records Act.
- Oversee our Fair Political Practices Commission Form 700 filings and applicable reporting, maintaining accurate records and deadlines.
- Coordinate responses to public records requests, ensuring timely and accurate responses.
- Assist with record management, mail, ordering, and inventory of supplies, maintaining a well-organized and efficient work environment.
- Conduct oath of office ceremonies for board members, Community Advisory Committee members, and staff, promoting professionalism and adherence to protocol.
- Arrange travel and accommodations for board members and our staff, ensuring seamless execution and quality service.
- Prepare occasional staff reports as directed by our CEO, providing valuable insights and updates.
- Maintain mailing lists and provide communications to various groups, including the Board, committees, staff, and external stakeholders.
