Qualifications
Education/Certification/Licensure
- High school diploma or GED
Special Knowledge/Skills
- Effective communication and interpersonal skills
- Proficient computer, typing, and word processing skills
- Software knowledge to develop spreadsheets and databases
- Strong organizational and file maintenance skills
- Knowledge of basic accounting principles
Experience
- Minimum of 1 to 3 years secretarial experience, preferably in public education environment
Major Responsibilities and Duties
- Prepare written correspondence, forms, schedules, or reports.
- Receive incoming calls, take reliable messages and route to appropriate staff.
- Maintain a daily teacher attendance log and records for substitute teachers.
- Monitor and process personnel time records including leave requests and reports.
- Compile information and submit to central office according to established deadlines.
- Maintain school calendar of events.
- Provide relief for Librarian and Receptionist lunch breaks.
- Assist students, teachers, and parents as needed.
- Maintain physical and computerized files, including mailing lists, student records, visitor logs, and office communication.
- Update handbooks, policy manuals, and other documents as assigned.
- Perform routine bookkeeping tasks, including simple arithmetic operations, to maintain campus budget records.
- Prepare requisitions for supplies and equipment.
- Prepare and make cash deposits for activity accounts; may be responsible for maintenance of activities and ledgers.
- Assist with coordination of faculty meetings and campus activities.
- Assist with campus budget preparation.
- Maintain inventory of fixed assets, equipment, and supplies.
- Coordinate clerical projects for the campus.
- Enter work/maintenance requests for the campus.
- Coordinate the check-in and check-out of teachers at openings and closing of school year.
- Sort, distribute, or deliver mail and other documents.
- Administer medication to students, check temperatures, and notify parents of student illness in nurse’s absence.
- Maintain confidentiality.
- Stay up-to-date professionally through the selection of quality staff development opportunities for personal growth.
- Research district policy, precedent, and current practices prior to taking action.
- Maintain all financial records for the school activity fund by accounting for all school-sponsored activities; financial records include general ledger, cash balance, detailed accounts, and subsidiary journals.
- Maintain all financial records on a personal computer with district-approved software.
- Process all financial transactions in accordance with district financial procedures and policies.
- Process and account for all money generated and distributed in school-sponsored activities.
- Serve as recourse for principals and activity sponsors on financial management issues.
- Reconcile all bank accounts associated with the student activity fund; report reconciliation’s in district-approved format and under district guidelines.
- Assist the principal’s secretary for campus budget responsibilities.
- Provide analytical data and reporting for various district-directed projects in computer spreadsheet formats.
- Participate in audits with the district internal auditor.
